This is a fully remote position, open to applicants in California, +4 more states.
• Accurately process semimonthly payroll in a timely manner.
• Collaborate with Human Resources to review timecards and pinpoint discrepancies prior to payroll finalization.
• Address inquiries related to compensation, deductions, and pay stubs.
• Maintain well-organized payroll records and supporting documentation.
• Identify and escalate any unusual adjustments, discrepancies, or unresolved payroll concerns.
• Monitor and categorize company expenses, credit card transactions, and employee reimbursements.
• Collect, organize, and maintain digital copies of receipts and supporting documentation.
• Follow up on missing receipts and incomplete expense submissions.
• Ensure that company purchases and reimbursements are accompanied by complete supporting records.
• Recognize coding or documentation discrepancies and direct questions to Finance leadership.
• Input approved expenses, bills, and transactions into QuickBooks Online.
• Allocate expenses to the appropriate accounts, classes, and projects.
• Assist with monthly bank and credit card reconciliations.
• Aid in the preparation of basic financial reports and supporting schedules.
• Support the month-end close process by gathering documentation, reviewing transactions, and resolving routine discrepancies.
• Maintain clean and organized electronic records to support internal review and audit readiness.
• Work collaboratively with Finance and Human Resources teams during scheduled hours.
• Meet recurring Finance deadlines while ensuring dependable availability during critical payroll-processing times.
• High school diploma or equivalent is mandatory.
• Coursework or an associate degree in Accounting, Finance, Business Administration, or a related field is preferred.
• 1-2 years of experience in payroll, bookkeeping, accounts payable, finance administration, or a similar role is preferred.
• Previous experience in payroll processing is strongly preferred.
• Familiarity with QuickBooks Online and Microsoft Excel is required.
• Strong numerical accuracy and exceptional attention to detail are essential.
• Excellent organizational skills and the ability to follow through on tasks.
• Ability to identify discrepancies, investigate routine issues, and know when escalation is necessary.
• Capability to manage confidential payroll, banking, employee, and company financial information appropriately.
• Comfortable in learning and working across payroll, HR, and electronic document-management systems.
• Must be available during business hours in the central and mountain time zones.
