This is a fully remote position, open to applicants in United States.
• Oversee referral queues and enrollment processes to transform new referrals into scheduled visits within designated turnaround times.
• Communicate with patients through phone calls or secure messaging to arrange and confirm appointments.
• Inform patients about Triplemoon services, provide support, and respond to their inquiries.
• Ensure that patients complete all required legal documents prior to their first appointment.
• Aid patients in understanding their insurance coverage regarding services.
• Follow up with patients who have missed appointments or require assistance with rescheduling.
• Monitor outreach efforts and keep precise documentation in the electronic health record.
• Report referral or scheduling obstacles to the Clinic Success team, including incorrect diagnosis coding or missing authorizations.
• Assist in balancing caseloads among behavioral health care managers by aligning patient volume with clinic capacity, taking state licensure into account, and raising capacity concerns when necessary.
• Help patients set up and utilize Triplemoon’s virtual tools.
• Offer troubleshooting assistance and clear guidance for effective technology usage.
• Collaborate closely with the Behavioral Health and Clinic Success teams to maintain precise calendars, reduce no-shows and appointment gaps, and enhance experiences for patients and clinic partners.
• 2-3+ years of experience in virtual medical scheduling, patient access, or healthcare administrative coordination.
• Experience in pediatric or behavioral health settings is preferred.
• Associate or bachelor’s degree from an accredited 2+ year in-person program.
• Proficiency in Spanish is highly preferred.
• Ability to work autonomously, discern needs, and take initiative without prompting.
• Experience in collaborating with interdisciplinary teams.
• Demonstrated reliability and punctuality.
• A patient-centered approach to care.
• Capacity to problem-solve and think critically in fast-paced environments.
• Familiarity with an EHR/practice management system.
• Strong organizational skills and competence in managing multiple calendars and adapting to shifting priorities.
• Warm and clear communication style for engaging with families, clinic staff, and internal clinical teams.
• Understanding of, or eagerness to learn about, billing codes relevant to scheduling cadence and encounter timing.
