This is a fully remote position, open to applicants in Canada.
• Coordinate and monitor patient appointments to guarantee timely and ongoing access to treatment.
• Act as a liaison between clinics, pharmacy, and the Haven team concerning scheduling adjustments and medication coordination.
• Handle post-infusion/treatment documentation by entering patient information and uploading files into both internal and external CRM systems.
• Supervise invoicing related to post-infusion/injection/treatment documentation.
• Respond promptly and courteously to phone calls, emails, and voicemails.
• Foster trusting relationships with patients, caregivers, and healthcare teams.
• Provide comprehensive administrative support for the Haven Program, including safety data, fulfillments/reviews, communications, field staff assistance, reports, data cleanup, meetings, filing, and various office responsibilities.
• Manage incoming faxes and email communications.
• Report Adverse Events and Severe Adverse Events in accordance with SOP guidelines.
• Uphold professionalism, confidentiality, and discretion in all interactions.
• Execute additional duties as assigned by the manager.
• Completion of Grade 12 education coupled with 2 years of community college, secretarial training, and/or equivalent relevant work experience in office administration.
• Exceptional verbal and written communication, listening, and customer service abilities.
• Bilingualism in French and English is considered an asset.
• Proficiently input information into both paper and electronic formats.
• Capacity to learn swiftly, adapt, and multitask in a dynamic and fast-paced environment.
• High level of proficiency with information technology, computers, software, Microsoft Office applications, phone systems, and databases.
• Strong typing skills and familiarity with various computer-based programs.
• Excellent organizational skills with the ability to manage changing priorities effectively.
• Capability to work independently with minimal supervision.
• Commitment to confidentiality policies while handling patient data and information.
• Ability to collaborate and function effectively in a team-oriented environment.
