This is a fully remote position, open to applicants in United States.
• Take charge of the integrity, administration, monitoring, and daily operations of the firm’s U.S. and international patent prosecution docket.
• Review and assess incoming and outgoing correspondence related to U.S., PCT, and foreign patent prosecutions.
• Identify, calculate, enter, update, clear, and monitor statutory and procedural deadlines.
• Collaborate with BHIP Hills A.I. to ensure that responsible team members are informed of necessary actions.
• Oversee the intake and triage of correspondence from the USPTO, WIPO, foreign associates, clients, and practitioners.
• Verify bibliographic details, priority claims, application statuses, and outstanding deadlines using official patent systems.
• Conduct quality control audits and reconcile docket information against official records and source documents.
• Investigate discrepancies and facilitate resolutions to issues.
• Prepare and maintain reports on deadlines, pending actions, portfolio statuses, and related data.
• Set up and verify docket records for new applications, clients, and transferred matters.
• Reconstruct prosecution histories and pinpoint outstanding obligations and deadlines when necessary.
• Enhance docketing procedures, checklists, controls, and workflows.
• Provide accurate portfolio information and valuable insights to patent practitioners and prosecution paralegals.
• Obtain signatures on filing and patent prosecution documents.
• Prepare and file U.S. and international patent applications and prosecution documents, including declarations, assignments, powers of attorney, petitions, IDSs, and any necessary supporting documents.
• Extensive experience in independently docketing U.S. and international patent prosecution matters.
• Ideally 4+ years of experience in patent prosecution support, with considerable responsibility for docket management.
• Proficiency in identifying and calculating patent prosecution deadlines from source correspondence.
• Knowledge of statutory deadlines, reminders, and patent prosecution extensions.
• Familiarity with the lifecycle of U.S., PCT, and foreign patent applications and prosecution events.
• Experience utilizing Patent Center, WIPO/PATENTSCOPE, EPO Register, Global Dossier, and foreign patent office databases.
• Experience with a dedicated IP docketing system is required.
• AppColl experience is strongly preferred.
• Familiarity with Trello, Microsoft Office, Google Workspace, and modern project management tools is beneficial.
• Ability to locate bibliographic and prosecution information across various jurisdictions.
• Capability to manage multiple deadlines while clearly communicating issues, risks, and necessary actions.
• Ability to self-direct, prioritize tasks, follow through, and take ownership of results.
• Previous experience in a remote or distributed work environment is advantageous.
• Exceptional attention to detail and accuracy is essential.
• Willingness to learn filing procedures to provide backup support.
• Possess a highly collaborative, people-first approach.
• Must be a dedicated W-2 team member; we are not seeking overflow docketing work or contract engagements.
• Must operate from a location in the U.S. with a reasonably well-connected internet.
