This is a fully remote position, open to applicants in United States.
• Respond to incoming calls during practice operating hours
• Ensure that new-patient calls are not directed to voicemail
• Prioritize inquiries from new patients and convert them into scheduled appointments
• Provide continuous phone coverage while the doctor and the in-office team attend to patients
• Interact professionally with patients, parents, referring dentists, and other contacts
• Schedule and organize patient appointments
• Manage and uphold the practice appointment calendar within the EHR
• Accurately enter and update patient information
• Generate letters for new patients, referral letters, and related correspondence through the EHR
• Compose and dispatch professional emails to dentists regarding referrals and practice requirements
• Follow up on information related to referrals
• Maintain clear communication with referring offices
• Collect insurance information during initial patient calls
• Assist with the billing process of the practice
• Preferred hands-on experience with OrthoEdge or Orthofi
• Strongly preferred previous experience as a medical, dental, or orthodontic VA/receptionist
• Experience in managing incoming patient calls and scheduling appointments
• Working knowledge of orthodontic insurance and billing procedures
• Excellent written and verbal communication skills in English
• Exceptional customer service skills and phone etiquette
• Keen attention to detail and accuracy in data entry
• Comfortable working autonomously in a remote setting
• Minimum internet speed of 50 Mbps for both upload and download
• Verified backup internet connection is mandatory; mobile phone hotspots are not acceptable
• Backup power source, such as a UPS or generator, is required
• A quiet and professional workspace suitable for voice work is essential
• A noise-canceling headset is required
• A reliable computer capable of running software systems and a softphone concurrently
• Must use Windows 11 or the latest Apple OS/update
• Ability to multitask and prioritize new-patient calls and appointment opportunities
