This is a fully remote position, open to applicants in Virginia.
• Evaluate and confirm incoming sales orders against customer purchase orders, OEM/Distributor cost quotations, and relevant contract terms and conditions.
• Ensure compliance of orders with applicable FAR/DFARS clauses and specific contract requirements before activation.
• Conduct quality assurance checks on pricing, part numbers, quantities, and contract references.
• Activate validated sales orders following established sales operations procedures.
• Collaborate with Sales and Inside Sales teams to identify, investigate, and resolve order discrepancies.
• Act as a primary contact for questions related to orders and escalate complex issues as necessary.
• Monitor order fulfillment status after purchase orders have been submitted to distributors/OEMs.
• Ensure customers receive proof of delivery/shipment, license keys, and other necessary deliverables.
• Upload and manage proof of delivery and related documentation within Salesforce.
• Assist in maintaining current, streamlined, and consistently adhered to SOPs and order management processes.
• Propose enhancements to improve order accuracy, cycle time, and compliance.
• Offer after-hours support during peak times, including month-end, quarter-end, and federal fiscal year-end.
• High School Diploma or equivalent experience.
• 0-2 years of experience in order management, sales operations, procurement, contract administration, or a related field.
• Strong attention to detail with a focus on accuracy and data integrity.
• Ability to work effectively with sales, operations, and finance teams.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office (Excel, Outlook, Word).
• Familiarity with or basic understanding of FAR/DFARS and federal contract terms and conditions.
• Experience with Salesforce (SF) or a similar CRM/order management system.
• Knowledge of OEM/Distributor quoting and procurement processes within the IT or cybersecurity reseller industry.
