This is a fully remote position, open to applicants in United States, +1 more country.
• Take ownership and lead the delivery of Outcapped's Fractional COO and Operational Assistance services for mission-driven client organizations.
• Serve as the outsourced operations leader, enhancing organizational structure and strategy while translating leadership priorities into actionable operating plans.
• Manage compliance calendars for clients in the UK or US, which includes incorporation, Board agendas, minutes, resolutions, and policies.
• Oversee payroll and benefits administration, including management of Gusto and Deel.
• Ensure employment compliance across various jurisdictions and handle the onboarding and offboarding of client employees and contractors.
• Take charge of monthly bookkeeping, reconciliations, accounts payable, budget and cash-flow tracking, as well as grant financial reporting.
• Project-manage client engagements across multiple workstreams by scoping, sequencing, and adhering to deadlines.
• Delegate tasks to Operational Associates and conduct quality checks on their work.
• Act as the primary operational contact for assigned accounts, identifying risks and proposing effective solutions.
• Maintain proactive communication via Slack or email as per engagement terms.
• Select and implement tools such as Notion, Airtable, Navan, and Ramp.
• Develop SOPs and documentation to ensure work continuity across clients.
• A minimum of 4 years of operations experience in startups, agencies, or similar settings.
• Proven experience in managing multiple operational domains, including governance, finance, compliance, or tooling.
• Capability to execute operational tasks personally while also managing or delegating to others at a consistently high standard.
• History of building and enhancing systems across various organizations or contexts.
• Strong judgment and evidenced operational proficiency.
• A proactive attitude combined with a willingness to learn and adapt.
• A humble, growth-oriented mindset with a continuous desire for learning.
• High sense of ownership and the ability to work independently.
• Excellent written and verbal communication skills in English.
• Nice to have: experience with compliance and governance in nonprofits, CIC, or NGOs in the UK or US.
• Nice to have: in-depth knowledge in Finance, HR, IT, or Recruiting Operations.
• Nice to have: extensive experience with Airtable, Zapier, or Make.
• Nice to have: familiarity with early-stage or mission-driven organizations.
• Nice to have: interest in AI tools and workflow automation.
• Availability for 3–4 hours of overlap with CEST and 3–4 hours of overlap with Pacific time three days a week.
