Operations Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Receive and log incoming jobs, ensuring they meet the necessary criteria before entering them into the active pipeline.

• Monitor active jobs through the stages of intake, inspection, claim submission, appraisal, and invoicing.

• Keep an accurate and current job tracker.

• Identify jobs that are stalled and escalate these issues to the Operations Manager.

• Collaborate with sales representatives to verify inspection dates.

• Reach out to insurance companies via phone and email to acquire claim documents, adjuster assignments, and claim numbers.

• Conduct weekly follow-ups or more often with insurance representatives until all documents and approvals are secured.

• Track submitted estimates and appraisals, actively prompting insurance companies for updates.

• Record insurance communications, including contact names, dates, outcomes, and follow-up timelines.

• Coordinate with field technicians for photo and data collection.

• Input field data into the platform to create inspection reports.

• Draft estimates based on completed inspection reports and prepare submissions to insurance companies.

• Monitor appraisals and provide status updates to the internal team.

• Relay appraisal decisions to the operations and invoicing teams.

• Compile and send necessary information to invoicing following appraisal approval.

• Organize and transmit documentation required to finalize jobs.

⛳️ Requirements

• Previous experience in operations coordination, claims coordination, or a related role in construction, restoration, roofing, or insurance services.

• Comfortable making a high volume of outbound calls to insurance companies, adjusters, and team members.

• Naturally persistent and proactive — follow up without prompting and escalate issues before they become urgent.

• Highly organized with the ability to manage multiple active jobs at various stages simultaneously without losing focus on details.

• Strong written and verbal communication skills.

• Reliable in a remote work environment with a quiet workspace and high-speed internet.

• Experience with insurance claims, adjusters, or the property damage restoration process is preferred.

• Familiarity with construction or restoration job management platforms and reporting tools is a plus.

• Background in roofing, storm damage restoration, or property insurance claims coordination is preferred.

• Experience in writing estimates or supporting the estimating process in a construction or restoration context is preferred.
