This is a fully remote position, open to applicants in United States.
• Oversee the onboarding process from the moment an offer is accepted until Day 1.
• Act as the main point of contact for candidates who have accepted offers and for new hires.
• Greet new hires, set expectations, outline next steps, and maintain consistent communication.
• Identify candidates who are lagging in meeting onboarding requirements and ensure timely completion.
• Initiate, organize, and monitor pre-employment and onboarding tasks.
• Keep accurate records of candidate status, documentation, completion timelines, and outstanding requirements.
• Track onboarding pipelines and deadlines to ensure new hires are prepared for their scheduled start dates.
• Collaborate with Recruiting, HR, IT, Credentialing, Training, and Operations to address issues and eliminate obstacles.
• Highlight risks that may hinder scheduled start dates.
• Verify the completion of onboarding tasks and coordinate orientation and training placements.
• Maintain start-date and training rosters while communicating any changes.
• Provide new hires with Day 1 instructions, schedules, technology expectations, and additional start information.
• Ensure a smooth transition from Recruiting/Onboarding to Training and Operations.
• Document onboarding workflows, procedures, handoffs, responsibilities, and service expectations.
• Identify bottlenecks, duplicate tasks, and potential automation opportunities.
• Suggest and implement process enhancements, standardized checklists, templates, and tracking systems.
• Monitor recurring onboarding challenges and address their root causes.
• A minimum of 2 years of experience in recruiting coordination, onboarding, HR operations, talent acquisition operations, or a related process-driven administrative position.
• Proficient in entering, managing, and tracking candidate or employee data within an ATS, HRIS, onboarding platform, or a comparable workflow system.
• Proven experience in managing multiple individuals through a structured process that involves deadlines, required tasks, documentation, and follow-up.
• Excellent organizational skills with the ability to handle a high-volume workload while maintaining attention to detail.
• Strong written and verbal communication abilities.
• Capable of proactively following up, driving task completion, and escalating issues as necessary.
• A strong process-oriented mindset with the capability to identify inefficiencies and suggest improvements.
• Experience in documenting processes, procedures, checklists, or standard operating procedures.
• Advanced computer skills, including proficiency in Microsoft Office/365, Zoom, Greenhouse or similar applications, and the ability to quickly learn new systems.
• High school diploma or equivalent is required; an associate or bachelor's degree is preferred but not mandatory.
• Must conduct all work physically within the United States; international work during scheduled hours is not allowed.
• Reliable internet connection and a secure, private workspace are essential.
• A Windows or Apple (macOS) computer is required; Chromebooks, Linux machines, or smartphones are not permitted.
• Minimum requirements include Windows 10 or macOS 14 Sonoma.
• An Intel Core i5 or AMD equivalent (Windows) or Apple Silicon (Macs) is necessary.
• 16 GB RAM is required.
• Wired headphones are mandatory; built-in microphones are not acceptable.
• Internet speed should be at least 100 Mbps download and 50 Mbps upload, with an ethernet cable connecting directly from the computer to the router.
• Google Chrome with Amazon Workspaces is required.
• A webcam is necessary for video calls.
• Fully remote work from a home office.
