This is a fully remote position, open to applicants in United States.
• Act as the primary liaison and trusted advisor for designated clients.
• Oversee programs and events from the initial planning phase to on-site execution.
• Coordinate schedules, deliverables, and operational specifics.
• Manage event budgets and financial aspects, including forecasting, expense monitoring, supplier contract negotiations, and profitability targets.
• Lead and guide cross-functional project teams.
• Source, negotiate, and manage relationships with hotels, audio-visual partners, DMCs, air providers, and other external suppliers.
• Conduct site evaluations.
• Collaborate with clients and internal teams on program strategy and implementation.
• Maintain proactive and transparent communication throughout the lifecycle of each program.
• Supervise on-site event execution, foresee challenges, resolve issues in real-time, and ensure an exceptional client experience.
• Handle VIP logistics and special projects.
• Assist in proposal development, renewals, and the cultivation of ongoing client relationships through operational insights and strategic input.
• A bachelor's degree or equivalent practical experience.
• 3+ years of experience leading large-scale, complex event programs from start to finish, including planning, budget management, supplier negotiations, cross-functional team leadership, and on-site execution.
• 3+ years of experience in meeting or event planning, incentive programs, association or corporate events, or related roles in hotels, conventions, or sales.
• Experience with international destinations is an advantage.
• Strong understanding of comprehensive program and event management, including budget responsibility and financial forecasting.
• Proven capability to build, manage, and sustain robust client relationships founded on trust and service excellence.
• Excellent written and verbal communication skills, with experience and confidence in presenting to clients and stakeholders.
• Ability to juggle multiple projects while remaining organized, adaptable, and detail-oriented.
• Strong technical skills, including proficiency in Microsoft Office and the capacity to quickly learn new systems and tools.
• 30% travel required.
