This is a fully remote position, open to applicants in United States.
• Report directly to the Chief Marketing Officer.
• Plan and implement ongoing internal and external events for Ensemble Performing Arts.
• Oversee the complete execution of a multi-day Music School Owners Conference.
• Identify venues, negotiate contracts, manage room blocks, and oversee the conference budget/P&L.
• Collaborate with ELT and Opus stakeholders to design the conference agenda and sessions.
• Manage registration and attendee information utilizing HubSpot.
• Drive attendee acquisition initiatives alongside the marketing team.
• Handle AV, F&B, production, signage, promotional items, run of show, and on-site execution.
• Conduct post-event surveys, finalize financials, and develop a repeatable conference playbook.
• Take responsibility for venue, travel, lodging, budget, vendors, meals, transport, evening programming, materials, and feedback for the all-company offsite.
• Develop the agenda for the all-company offsite in collaboration with the ELT.
• Manage the demand-generation process for M&A/CDM webinars, including platform setup, registration, reminder sequences, and HubSpot integration.
• Guide speaker preparation and dry runs with the CDM team and live production.
• Transition webinar follow-up into the CDM workflow and provide reports for screenings.
• Facilitate department offsites and internal gatherings using established playbooks.
• Oversee logistics, budgets, vendor relationships, and scalable event templates.
• Must be available to attend the Ensemble Off-Site from October 19–21, 2026.
• Bachelor's degree in Marketing, Business, or equivalent experience in event planning.
• Comfortable working autonomously in a fully remote, rapidly scaling environment.
• Experienced, organized, and dynamic event manager.
• Proven ability to plan and execute recurring events for both internal and external groups.
• Skilled in managing venues, contracts, room blocks, budgets/P&L, vendors, registration, attendee data, and event logistics.
• Proficient with HubSpot.
• Capable of leading attendee acquisition campaigns with marketing teams.
• Experienced in managing speaker preparation, dry runs, live production, and post-event reporting.
• Ability to create repeatable processes, templates, playbooks, and scalable event operations.
• Act as the primary point of contact and represent event planning to senior leadership and School Leaders.
