This is a fully remote position, open to applicants in Canada.
• Collaborate closely with medical directors and the clinical operations team to oversee and strategize Felix’s medical pillar and healthcare practitioner functionalities.
• Take ownership of file management by consolidating, updating, and maintaining electronic files and documents, including labs and referrals.
• Establish and adhere to a system for tracking lab requisitions to ensure timely receipt of results and documentation.
• Review previous month's requisitions and reach out to labs and patients when test results are absent.
• Serve as a liaison between pharmacies and healthcare practitioners.
• Schedule, manage, and facilitate audio/video consultations for healthcare practitioners and patients.
• Execute tasks assigned by the clinical operations manager or medical director.
• Work in collaboration with the customer support team.
• Maintain clinical documentation and revise training materials as necessary.
• Address faxes and voicemails from external stakeholders promptly.
• Carry out administrative and data-entry tasks that support lab management processes.
• Assist healthcare practitioners with document management and basic editing of medical and insurance forms.
• Engage in Quality Improvement/Quality Assurance initiatives.
• Protect and safeguard personal health information as a designated personal health information delegate.
• Must reside in Canada.
• Required to work a consistent schedule from Monday to Friday, 7am-3pm EST, totaling 40 hours per week.
• Availability for evening and weekend work as necessary.
• Successful completion of a medical office administration program or an equivalent educational background in a related field.
• A minimum of 2+ years of experience as a medical office professional.
• Experience in virtual care is a plus.
• Technical proficiency with a quick ability to learn new software and systems.
• Familiarity with an Electronic Medical Record (EMR) system.
• Strong organizational abilities and a keen eye for detail.
• Customer service experience is advantageous.
• Excellent verbal and written communication skills.
• Capability to work both collaboratively and independently in a virtual-first environment.
• Fluent in English.
• Bilingual proficiency in French is a plus.
• Must possess an appropriate remote-working setup to ensure the protection of personal health information.
