This is a fully remote position, open to applicants in New Jersey.
• Contact new and current patients to assist with appointment scheduling and confirm their attendance.
• Arrange appointments for new patient referrals and gather necessary documentation and demographic information.
• Input patient data accurately into the EMR system.
• Coordinate both in-house and external referrals.
• Help patients identify suitable facilities when necessary.
• Provide support to Central Scheduling during peak times or in the absence of staff.
• Communicate with attorneys and paralegals to acquire patient-related documents, including prescriptions, imaging requests, and declaration pages.
• Monitor and follow up on outstanding documentation and correspondence.
• Keep organized records of legal and referral communications using spreadsheets and EMR tools.
• Act as a liaison with law firms, referring offices, community organizations, and online vendors.
• Assist in patient outreach initiatives and manage referral relationships.
• Identify ways to improve patient engagement and enhance communication between patients and healthcare providers.
• Help manage platforms such as Birdeye, ZocDoc, and other marketing vendors.
• At least 2 years of experience in a medical office, marketing, or patient coordination role.
• Experience with motor vehicle accident patients is highly preferred.
• Proficient in using EMR systems.
• Skilled in Microsoft Office Suite.
• Competent in managing spreadsheets with Excel or Google Sheets.
• Exceptional written and verbal communication abilities.
• Professional and compassionate demeanor when interacting with patients and legal professionals.
• Strong attention to detail.
• Capability to handle multiple priorities, track tasks, and meet deadlines.
• Willingness to support other departments, particularly Central Scheduling, as needed.
• Reliable internet connection.
• Quiet workspace.
• Ability to work independently in a remote environment.
• Experience in medical-legal case coordination or personal injury cases is preferred.
• Knowledge of referral management and insurance verification processes is preferable.
• Familiarity with marketing outreach tools or CRM systems is preferred, but not required.
