This is a fully remote position, open to applicants in United States.
β’ Assist with the daily administrative tasks for the SOVRA TRX Marketing team, which includes tracking projects, coordinating meetings, documenting activities, and following up on tasks.
β’ Monitor marketing budgets, process purchase requests, manage invoices, evaluate supplier quotes, and handle approvals.
β’ Keep project schedules, task lists, status updates, and timelines organized and current.
β’ Coordinate with third-party vendors for printed materials, promotional items, branded apparel, signage, event supplies, and other marketing production requirements.
β’ Oversee supplier quotes, timelines, proofs, production schedules, delivery specifications, and final files.
β’ Assist in tracking inventory and ordering of branded materials, merchandise, clothing, and event supplies.
β’ Ensure that printed and promotional items are consistent with SOVRA brand standards and program specifications.
β’ Manage the Association Tracker and liaise with external association contacts for upcoming deliverables.
β’ Aid in project management for campaigns, collateral, events, association initiatives, and internal marketing requests.
β’ Perform quality assurance checks to ensure brand consistency, proper formatting, spelling accuracy, functional links, version control, and production precision.
β’ Make minor design updates to existing assets, templates, presentations, handouts, and collateral.
β’ Organize marketing files, creative briefs, production trackers, and shared resources for the team.
β’ Provide assistance with basic video editing or production support when necessary.
β’ A Bachelorβs degree or diploma in Marketing, Communications, Business Administration, Project Management, or a related field, or equivalent professional experience.
β’ 2β5 years of experience in marketing coordination, project management, administrative support, supplier management, or a similar position.
β’ Strong organizational capabilities with the ability to handle multiple projects, deadlines, vendors, and details at once.
β’ Experience in tracking budgets, invoices, purchase orders, supplier quotes, or project costs is essential.
β’ Comfort in working with third-party suppliers, print vendors, promotional product providers, or event-related vendors.
β’ Excellent verbal and written communication skills, with a keen attention to detail and accuracy.
β’ Authorization to work in the United States; please note that SOVRA does not sponsor work visas or transfers.
β’ Basic knowledge of design tools such as Adobe Creative Suite, Canva, or similar platforms is advantageous.
β’ Video editing experience is a plus but not mandatory.
β’ Familiarity with marketing in HubSpot is an asset but not a requirement.
β’ Experience in a software company or government setting is beneficial.
β’ A background in procurement is a plus, though not required.
