This is a fully remote position, open to applicants in United States.
• Take ownership and enhance pod-level provider support, establishing a front desk for providers and facilitating pod success through collaboration, shared data, automation, and workflow design.
• Collaborate with ARMDs, Clinical Leadership, and Regional VPs throughout the provider journey, from onboarding to ongoing retention.
• Create efficient provider onboarding and continuous Bicycle Health education resources, tools, and help desk support.
• Supply the operational foundation for provider activation and retention initiatives.
• Develop and implement systems and workflows that alleviate administrative cognitive load for the medical group, helping to prevent burnout.
• Identify and integrate technology, including AI-assisted workflows and automation, to enhance the usability of Bicycle Health's platform and expedite provider decision-making.
• Manage provider-facing scheduling and coverage, including incentive hours, holiday coverage, on-call setup, PTO and out-of-office review, panel transfers, and response to outages/emergent coverage.
• Collaborate with clinical leadership, Analytics, and Capacity to oversee provider caseloads utilizing incentive hours, patient routing, or panel adjustments.
• Develop and sustain provider tools, a knowledge base, and daily relationships, including admin-block reviews and schedule audits.
• Lead direct reports and expand the Provider Success team as responsibilities grow.
• Ensure consistent and reliable attendance; perform additional assigned duties.
• Bachelor's degree in healthcare operations or a related field, and/or equivalent years of experience.
• 3 to 5 years of experience in healthcare operations, health tech, or behavioral health, with direct people-management experience.
• Proven track record in managing a provider- or clinician-facing support or account management function, ideally within a telehealth or virtual care organization.
• Demonstrated curiosity and comfort in experimenting with new technologies, including AI-assisted tools, to address operational challenges and facilitate informed decision-making.
• Familiarity with a help desk platform (such as Zendesk, Freshworks, or similar), on-call scheduling tools (with PagerDuty being a plus), and EHR systems (Athena is a plus).
• Experience in designing and building operational workflows, tools, or automation from the ground up, rather than merely managing an existing program.
• Background in collaborating with clinical or medical leadership on provider onboarding, training, or retention initiatives.
• Strong judgment regarding operational matters versus clinical responsibilities, with comfort in partnering across both domains on a daily basis.
• Proven history of structuring teams and staffing plans based on actual workload data.
• Analytical proficiency: adept at retrieving data and transforming it into insights that inform scheduling and capacity decisions.
• Proficient in Google Workspace, a project management tool (such as Asana or similar), and a CRM.
• Reliable access to a private workspace with high-speed internet, suitable for frequent video conferencing.
• Candidates must currently be authorized to work in the United States on a full-time basis and physically reside within the US.
