This is a fully remote position, open to applicants in District of Columbia, +3 more states.
• Manage contract files, records, and documentation in accordance with established filing protocols.
• Draft routine contract documents such as purchase orders, subcontracts, and standard amendments under supervision.
• Coordinate and distribute contract correspondence, notices, and submissions to project stakeholders.
• Assess contract documents for completeness and accuracy with guidance from senior team members.
• Monitor contract milestones, key dates, and renewal deadlines utilizing standard templates and checklists.
• Record and track change orders, variations, and scope modifications within tracking systems.
• Gather and organize payment applications, invoices, and supporting documentation.
• Conduct data entry for commercial tracking systems while maintaining organized cost records.
• Assemble documentation and information pertaining to project issues or potential claims under supervision.
• Offer administrative support for contract meetings, including scheduling, preparing materials, and taking notes.
• Generate routine contract status reports using standard templates.
• Monitor compliance with contract requirements, insurance certificates, and necessary documentation.
• Maintain contact lists and communication logs for contractors, consultants, and clients.
• Acquire knowledge of contract administration, commercial processes, and construction terminology through on-the-job training.
• Advocate for JLL's values and foster a culture of collaboration, inclusivity, and belonging.
• Bachelor’s degree in Construction Management, Business Administration, Real Estate, Engineering, or a related field (or equivalent work experience).
• 0-1 year of prior professional experience.
• Basic understanding of the construction or real estate industry is advantageous but not mandatory.
• Exceptional organizational skills and attention to detail with the capability to maintain accurate records.
• Proficient written and verbal communication skills for routine business correspondence.
• Fundamental computer skills including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to adhere to established procedures and accept direction from supervisors.
• Eagerness to learn and enhance knowledge of contract administration and commercial management.
• Capability to manage straightforward tasks under supervision and meet deadlines.
• Professional demeanor and ability to collaborate effectively with team members.
• Must possess authorization to work in the United States without sponsorship.
• Preferred: Internship or co-op experience in construction, real estate, contract administration, or a related field.
• Preferred: Coursework in construction management, contract law, project management, or business administration.
• Preferred: Basic familiarity with construction terminology or contract documents through academic studies.
• Preferred: Exposure to document management systems or project management software.
• Preferred: Interest in pursuing professional development in contract management or quantity surveying.
• Preferred: Experience with administrative support, document organization, or record-keeping in any professional setting.
• Preferred: Basic understanding of business documents and standard contracting processes.
