This is a fully remote position, open to applicants in United States.
• Take full responsibility for the comprehensive administration of all employee leave programs, which include FMLA, state-specific leaves, ADA accommodation-related leave, military leave, and company-sponsored leave policies.
• Act as a subject matter expert while ensuring adherence to federal and multi-state regulations for a US-based remote workforce.
• Monitor eligibility, certifications, and entitlement balances across various concurrent leave types.
• Oversee intermittent and reduced-schedule leave requests, ensuring accurate time tracking in compliance with regulations.
• Collaborate with payroll, workers' compensation providers, and short- and long-term disability vendors regarding pay, benefits continuation, and return-to-work procedures.
• Provide guidance to managers and employees on leave requests while upholding confidentiality.
• Keep track of legislative changes and revise policies and processes accordingly.
• Maintain records related to leave, prepare reports, and ensure audit readiness; compile documentation for the Director and/or Legal on complicated cases.
• Assist in the administration of health, welfare, and retirement benefits, including enrollment, life-event transitions, COBRA, vendor escalations, Open Enrollment, and audits.
• Enhance and refine leave and benefits business processes, manager training, and documentation.
• Identify opportunities for process improvements and support relevant system implementations or upgrades.
• A minimum of 5 years of progressive experience in leave of absence administration, with direct responsibility for FMLA, disability, and multi-state leave compliance.
• Familiarity with ADA interactive process requirements as they relate to leave.
• Strong knowledge of state-specific leave laws and their interaction with federal regulations.
• Experience collaborating with payroll and third-party leave/disability administrators.
• Excellent judgment in managing sensitive and confidential employee matters.
• Strong written and verbal communication skills, with the capability to clearly articulate complex leave policies to employees and managers.
• Previous experience in benefits administration — health & welfare plans and retirement plans (preferred).
• Professional certifications such as CLMS, CEBS, or PHR/SHRM-CP (preferred).
• Experience with HRIS and leave management systems like Workday or similar (preferred).
• Experience working with a remote, national employee population (preferred).
