This is a fully remote position, open to applicants in California.
• Oversee the complete logistics and on-site execution for designated events.
• Implement facility logistics, resource scheduling, crew assignments, vendor coordination, and on-site contingency planning.
• Develop and manage event crew grids to fulfill event staffing requirements.
• Act as the main operational liaison for Field Technical Managers, Operations Managers, crews, and production teams.
• Offer event-level insights regarding staffing models, recurring challenges, and process improvements.
• Handle vendor invoices, track expenses, highlight discrepancies, and assist in vendor quote evaluations.
• Foster relationships with vendors, school and conference operations staff, and venue representatives.
• Keep operational documentation, checklists, and standard operating procedures up-to-date.
• Enhance workflows, processes, and technological updates across assigned events while supporting implementation with field teams.
• Collaborate with Operations, Production, Engineering, Finance, and Business Affairs to address logistical challenges.
• Identify ongoing operational issues, suggest solutions, and contribute to data collection and post-event analysis.
• Mentor and supervise coordinators and event crew members.
• Minimum of 3 years of management experience in live sports, broadcast, or event operations, including direct oversight of field or event staff.
• Proven experience in managing logistics for multiple sites or events on a seasonal basis.
• Experience in coordinating with vendors, venues, and external partners in a live event context.
• Working knowledge of event budgets, invoicing processes, and cost monitoring.
• Proficient in spreadsheet, writing, and presentation software such as MS Office and Google Suite.
• Skilled in online collaboration tools such as Smartsheet, Playbook, and Slack.
• Ability to manage time-sensitive communications across large and geographically diverse groups at all hours.
• Strong organizational capabilities and the ability to manage multiple concurrent events with shifting priorities.
• Sound judgment in high-pressure situations, with the capacity to make quick on-site decisions and escalate issues appropriately.
• Willingness to travel approximately 30–60% of the year.
