This is a fully remote position, open to applicants in California.
• Review and assess AWV provider schedules to enhance appointment utilization and accessibility.
• Supervise daily outreach operations aimed at achieving Annual Wellness Visit scheduling objectives.
• Identify scheduling inconsistencies and work to boost appointment volume and patient access.
• Collaborate with providers and operational leadership to align scheduling capacity with patient demand.
• Ensure that outreach workflows adhere to organizational policies and healthcare regulations.
• Address operational challenges and escalate issues as necessary.
• Manage, mentor, and supervise a team of approximately 35–40 outreach and scheduling staff.
• Conduct interviews, participate in the hiring process, and lead onboarding, training, and staff development initiatives.
• Monitor employee performance while providing feedback, coaching, and corrective measures.
• Facilitate biweekly team meetings and maintain training materials and Standard Operating Procedures (SOPs).
• Oversee staffing, scheduling, and coverage management.
• Manage third-party AWV scheduling and outreach vendors, including communication, escalations, Service Level Agreements (SLAs), productivity, and performance evaluations.
• Supervise AWV billing operations, ensuring compliance with coding and documentation, claims submission, reconciliation, denials, reimbursement, and policy updates.
• Track and analyze outreach, scheduling, vendor, billing, productivity, and AWV completion metrics.
• Develop operational reports, executive dashboards, and Key Performance Indicator (KPI) analyses.
• Identify opportunities for process improvements through data analysis.
• Meet weekly with leadership and communicate findings to management, providers, and cross-functional stakeholders.
• Act as a liaison between outreach/scheduling teams, vendors, and billing/revenue cycle teams.
• Bachelor's degree is required.
• A Master's degree in Health Administration, Business Administration, or a related field is preferred.
• Proven experience in managing healthcare operations, patient outreach programs, or care coordination teams.
• Experience in managing third-party vendors or outsourced service partners, including SLA management and performance oversight.
• Familiarity with medical billing/revenue cycle operations, ideally related to AWV or preventive care services.
• Experience managing teams of 25 or more staff members.
• Proficiency in reporting, data analysis, and performance metrics.
• Knowledge of AWV, preventive care programs, CMS billing guidelines, and healthcare scheduling workflows.
• Proficient in Microsoft Excel, reporting/Business Intelligence tools, and healthcare management/billing systems.
• Strong organizational, communication, negotiation, and problem-solving abilities.
• Full-time, remote position.
• Remote work operating in Pacific Standard Time (PST).
