This is a fully remote position, open to applicants in Florida.
• Report directly to the Director of Major Event Operations.
• Assist in the operations and logistics of major events for colleges, universities, performing arts centers, and various market accounts.
• Oversee assigned client relationships from an operational standpoint and act as the main point of contact throughout the event lifecycle.
• Lead operational meetings with clients and internal teams.
• Utilize independent judgment to address issues and make timely decisions related to events.
• Streamline advance processes, develop schedules, engage vendors, manage marketing approvals, and evaluate contracts.
• Transform bookings into actionable event plans while serving as the operational counterpart to assigned agent desks.
• Manage logistics for production, staging, catering, staffing, fencing, power, and other vendor-related activities.
• Create, publish, and negotiate requests for proposals (RFPs) or quotes (RFQs) from vendors.
• Ensure adherence to insurance, health, legal, and safety regulations.
• Travel as necessary for on-site logistical support, meetings, pre-site visits, and conferences.
• Manage a high volume of calls, emails, and other communications efficiently.
• Develop and utilize standard operating procedures (SOPs) for event communication, project management, and other tasks.
• Participate in various meetings, including those with staff, departments, clients, sales, and others as required.
• Use customer relationship management (CRM) systems, project management tools, communication platforms, AI technologies, and future company technologies.
• Perform general office and administrative duties along with other assigned responsibilities.
• At least two (2) years of professional experience in live entertainment management, with a proven track record of providing on-site logistical support and managing tour advances, production logistics, and artist & vendor hospitality.
• Confident, engaging, organized, and process-driven with strong interpersonal communication abilities.
• Capable of multitasking with excellent time management skills and a keen eye for detail.
• Demonstrated ability to troubleshoot and resolve issues in high-pressure environments.
• Ability to independently manage client relationships and serve as the primary contact for events, including leading meetings and representing the organization effectively.
• Comfortable with technology, including the internet, social media, Zoom, Teams, and Office/Microsoft365.
• Must successfully pass an NCIC FBI background check.
• Must hold a valid and current Real ID and/or U.S. Passport.
• Must possess a current driver’s license registered in a U.S. state and have the ability to travel independently.
• Must meet the physical requirements necessary to support clients on-site and be adaptable to working in both indoor and outdoor environments, potentially in varying climates.
• Must be a citizen of the United States and reside within the country.
• Familiarity with the entertainment industry, including music, speakers, comedians, and similar performances.
• Experience working within higher educational institutions (colleges and universities).
• Previous experience in budget creation and working with profit and loss (P&L) statements.
• Technical proficiency with SharePoint, ClickUp, and Salesforce.
