This is a fully remote position, open to applicants in United States.
• Develop and oversee logistics for in-person, virtual, and hybrid events, including peer-learning gatherings, training sessions, webinars, and site visits to TANF agencies.
• Handle venue arrangements, virtual meeting platforms, catering services, audiovisual requirements, registration processes, and communication with attendees.
• Organize travel logistics and reimbursements for staff, federal partners, and invited guests, ensuring compliance with federal travel regulations.
• Prepare, compile, and distribute materials for events, including agendas, name badges, and participant packets in collaboration with the communications and graphics teams.
• Manage event calendars, invitation lists, RSVPs, and evaluations and reporting after events.
• Ensure all events are compliant with accessibility standards (ADA/Section 508), language access, and federal meeting regulations.
• Monitor event budgets and vendor contracts, reconciling expenses in coordination with the Project Manager.
• Offer on-site and virtual support during events, addressing issues as they arise.
• Proven experience in coordinating professional events, training sessions, or gatherings, including both virtual and hybrid formats.
• Knowledge of the TANF program and the government and grantee audiences relevant to this project.
• Understanding of marriage and family-strengthening topics sufficient to create precise, relevant materials.
• Excellent organizational, vendor-management, and multitasking abilities with remarkable attention to detail.
• Familiarity with federal travel, meeting, and accessibility standards.
• Competence in using registration, survey, and virtual event platforms.
• Bachelor’s degree in event management, hospitality, communications, business administration, or a related area, or equivalent experience.
• At least four years of experience in event and logistics coordination, ideally within a government, nonprofit, or human services environment.
• Certification as a Meeting Professional (CMP) or a similar credential is preferred.
• Experience in supporting federally funded conferences, technical assistance convenings, or grantee events is preferred.
• Experience in coordinating logistics across multiple sites or states is preferred.
