Logistics Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the retail order desk by retrieving, reviewing, and processing purchase orders from retailers, including Walmart POs.

• Utilize retailer portals and EDI systems, such as Walmart Retail Link, to manage orders and uphold product information.

• Input and revise PO, shipment, and delivery details using Microsoft Excel, Google Sheets, and internal order-management databases.

• Organize shipments within Walmart's transportation framework and generate and maintain shipment tickets.

• Create Bills of Lading, shipping labels compliant with retailer standards, ASN labels/stickers, and other necessary shipping documents.

• Upload shipment documentation to Google Drive and notify the production team via email with files required for printing and shipment preparation.

• Verify products and shipments in accordance with retailer-specific labeling, pallet, ASN, routing, and compliance criteria.

• Coordinate with retailer routing requirements and relay appointment information to the internal team; appointment decisions and approvals are to be made by the internal team.

• Monitor shipment and delivery status, acquire Proofs of Delivery, and keep precise records for PO, shipment, BOL, and delivery.

• Supervise retailer claims and discrepancies, investigate supporting shipment records, and file and process claims for missing or unreceived shipments or products.

• Identify potential On-Time In-Full and retailer compliance challenges and communicate them to the relevant internal teams.

• Review retailer inventory data and store-level product stock as necessary.

• Utilize Walmart Scintilla as the authoritative source for U.S. supplier performance, encompassing in-store sales and online pickup/delivery performance.

• Assist in reporting and analysis regarding retailer sales, inventory, fulfillment, and compliance.

• Collaborate with production, shipping, warehouse, and operations teams to address order issues and facilitate timely fulfillment.

⛳️ Requirements

• A minimum of 2 years of experience in logistics coordination, retail order processing, or a related field.

• Proficiency in Microsoft Excel and Google Sheets to ensure accurate maintenance of purchase orders, shipment, and delivery records.

• Strong written and verbal communication skills for effective coordination with client contacts and internal operations teams.

• High attention to detail and organizational capabilities when managing order information, shipping documents, and retailer records.

• Ability to investigate shipment discrepancies, follow up on missing information, and promptly raise potential fulfillment or compliance issues.

• Eagerness and ability to learn retailer-specific systems and processes; training will be provided.

• Experience with Walmart systems, including Retail Link, Walmart transportation tools, and Scintilla, is a strong asset but not mandatory.

• Knowledge of EDI platforms, retailer shipping documentation, and OTIF requirements is beneficial.
