This is a fully remote position, open to applicants in Australia.

📋 Description

• Organize, monitor, and preserve the firm's state and territory registrations along with mobility licenses across applicable jurisdictions.

• Ensure accurate databases and electronic legal files are maintained, including naming conventions, version control, and retention policies.

• Assist in the preparation of compliance documentation and regulatory submissions.

• Perform initial reviews of both first-party and third-party contracts utilizing firm playbooks and AI-enhanced tools.

• Analyze any contractual deviations from approved company templates and playbooks.

• Facilitate negotiations with internal stakeholders and external parties.

• Educate internal stakeholders regarding negotiation expectations and guidelines.

• Address client due diligence questionnaires and onboarding prerequisites.

• Manage the Legal Department's ticketing and intake system.

• Classify legal requests based on their complexity, risk, and urgency.

• Oversee service levels to ensure timely responses.

• Maintain reporting metrics, dashboards, and workflow performance indicators.

• Enhance legal intake and service delivery processes.

• Collaborate with Administrative, Finance, Operational Services, Growth, and other teams on legal matters pertaining to contracting, billing, and collections.

• Assist with insurance documentation, vendor forms, and operational requests.

• Coordinate with outside counsel on intellectual property registrations and other external legal affairs.

• Conduct basic legal research and fact-finding activities.

• Support the General Counsel and Chief Operating Officer in merger and acquisition endeavors, document organization, due diligence, and transaction deliverables.

• Aid in special projects, audits, and initiatives within the Legal function.

• Manage calendars, correspondence, and follow-ups regarding legal matters.

• Schedule meetings and prepare materials for legal discussions.

• Uphold the confidentiality of sensitive firm and client information.


⛳️ Requirements

• Certificate or diploma in Legal Studies, Paralegal Studies, or a related discipline.

• 2-4 years of experience in providing administrative or legal support within a law firm, in-house legal department, or professional services environment.

• Preferred experience in supporting legal functions within a global organization or professional services firm.

• Familiarity with legal intake, contract lifecycle management, or legal ticketing systems is preferred.

• Experience with Artificial Intelligence technologies is a plus.

• Understanding of legal terminology, office procedures, and contract law.

• Knowledge of corporate governance requirements, licensing, and regulatory compliance processes is beneficial.

• Working knowledge of intellectual property filings, basic research methods, and legal documentation standards.

• Familiarity with emerging AI technologies and a desire to broaden knowledge and practical application of AI-driven tools and systems.

• Strong written and verbal communication abilities; capable of drafting clear correspondence and documentation.

• Excellent organizational and time-management skills with the capacity to prioritize multiple deadlines.

• Keen attention to detail, accuracy, and quality control.

• Proficient research and information-gathering skills, with the ability to synthesize information.

• Capability to work independently while ensuring alignment with the Legal team and other stakeholders.

• Strong interpersonal skills with the ability to collaborate across legal, administrative, operational, and finance teams.

• Discretion, confidentiality, and sound judgment in managing sensitive information.

• Adaptability to a global environment with evolving priorities and legal requests.

• Ability to identify process improvements and contribute to legal playbooks and self-service tools.

• Competence to independently review and triage first-party and third-party contracts, exercising judgment on when to escalate matters beyond established authority to the Associate General Counsel.
