This is a fully remote position, open to applicants in Alabama, +7 more states.
• Coordinate and assist with the medical records and billing operations of the personal injury department.
• Initiate the creation of medical records by processing patient cases.
• Retrieve medical records by exporting charts and document those that cannot be retrieved for statistical and follow-up purposes.
• Deliver charts and requests to designated personnel or the company.
• Communicate the availability or unavailability of records to healthcare providers, requesters, and attorneys.
• Document and relay actions, irregularities, and ongoing requirements.
• Ensure the confidentiality of patient records and adhere to HIPAA regulations.
• Forward records to third-party vendors as required.
• Contact patients to collect necessary information.
• Verify auto insurance, personal health insurance, insurance payments, and account balances.
• Reach out to attorneys to gather information regarding policy limits and accident details.
• Schedule patient appointments or transfer scheduling responsibilities to patient access following clearance.
• Generate billing statements for Clearway Pain and Clearway Surgery Center.
• Verify billing balances and dispatch statements to the requested parties.
• Establish points of communication with attorneys' offices and patients.
• Check work email consistently throughout the workday.
• Complete all required training and in-service sessions.
• Perform additional assigned duties as needed.
• High School Diploma or equivalent, with at least three (3) years of relevant experience, or a suitable combination of education and experience.
• Candidates must reside in one of the states where the company operates: MD, DE, VA, NJ, PA, FL, AL, GA, SC, or TX.
• Proficiency in Internet and Microsoft Office software, including MS Word, MS Excel, MS PowerPoint, and MS Outlook.
• Exceptional written and verbal communication skills, along with outstanding customer service capabilities.
• Ability to build and maintain effective working relationships with doctors, clinical staff, colleagues, and the public.
• Capacity to work independently as well as collaboratively within a team.
• Ability to follow both verbal and written instructions accurately.
• Flexibility to work a variable schedule.
• Ability to respond with patience and empathy during stressful patient health and urgent situations.
• Strong multitasking and prioritization skills.
• Keen attention to detail.
• Excellent organizational abilities.
• Strong problem-solving and reasoning skills.

• Working knowledge of CPT and ICD-10 coding standards.
• Solid understanding of insurance and third-party payer protocols.
• Familiarity with healthcare, medical specialties, and medical terminology.
• Strong dedication to customer service, organizational compliance, ethical conduct, and continuous improvement.
• Preferred: experience with motor vehicle insurance or in a chiropractor's office.
• Preferred: two years of experience with Electronic Medical Records (EMR).
• Preferred: Medical Billing Certification.
• Reliable transportation is required.
