This is a fully remote position, open to applicants in United States.
• Oversee and manage executive email inboxes, prioritizing tasks, highlighting urgent issues, organizing correspondence, and ensuring timely follow-up on important actions.
• Coordinate executive calendars by scheduling meetings, appointments, deadlines, and commitments while proactively addressing scheduling conflicts and competing priorities.
• Leverage AI tools and automation to optimize repetitive administrative tasks, enhance workflows, and decrease the time needed for routine executive support functions.
• Administer expense management, which includes entering expenses, maintaining precise records, categorizing transactions, and preparing data for financial reporting.
• Create and sustain regular reports, summaries, and administrative dashboards, guaranteeing that information is accurate, well-presented, and accessible as needed.
• Compose and format written responses, correspondence, and documents per instructions or existing templates, ensuring the review of formatting, tone, structure, and accuracy before finalization.
• Take responsibility for ongoing administrative processes and repetitive tasks, identifying opportunities for standardization, automation, and enhancement in workflow efficiency across the practice.
• Uphold high standards of confidentiality and information management when dealing with sensitive client, legal, financial, and executive data, while effectively coordinating with both internal and external stakeholders.
• Provide personal assistant support to executives, which includes organizing personal travel, appointments, events, reservations, and other personal arrangements as necessary.
• A minimum of 4 years of experience as an Executive Assistant, Senior Personal Assistant, Legal Assistant, or in a similar senior administrative capacity, ideally within a law firm or professional services setting.
• Strong proficiency in AI tools and demonstrated experience in utilizing them to enhance productivity, automate repetitive workflows, draft content, organize information, and improve administrative processes.
• Outstanding written English and meticulous attention to detail, with the capability to review, format, and produce professional correspondence and documents accurately.
• Excellent organizational and prioritization abilities, capable of independently managing complex calendars, multiple deadlines, competing priorities, and large volumes of information.
• A high degree of discretion, professionalism, and confidentiality, with the capability to appropriately handle sensitive legal, client, and financial information while exercising sound judgment.
