This is a fully remote position, open to applicants in California.
• Deliver specialized legal and administrative assistance to 2–3 attorneys within Client Legal Services, focusing on the California region, including Los Angeles.
• Initiate and oversee new lawsuit files, with a primary emphasis on Auto and potentially Bodily Injury cases.
• Ensure precise case setup and continuous file management within designated case management systems.
• Organize and manage attorney schedules, encompassing court dates, deadlines, depositions, and hearings.
• Arrange, prepare, and inform necessary parties about depositions.
• Draft, file, and serve pleadings and legal documents in both paper and electronic formats, including e-filing across various jurisdictions.
• Handle and manage high volumes of electronic mail related to pleadings, filings, and court communications.
• Act as the primary point of contact for courts, plaintiff counsel, IME vendors, and internal stakeholders.
• Oversee document organization, version control, and case file upkeep.
• Coordinate the issuance of settlement checks and follow up on necessary closing documentation.
• Track deadlines and ensure adherence to procedural and filing requirements.
• Review and manage electronic correspondence associated with case filings.
• Validate related events and activities, and close, maintain, and archive files.
• Monitor and direct internal and external client inquiries.
• Work with limited supervision; no supervisory responsibilities.
• High School Diploma or GED.
• At least one year of experience in a legal support environment.
• Previous exposure to a legal, litigation, claims, or professional services setting through work experience, internships, or related administrative roles.
• Basic understanding of legal documents and processes, including pleadings, filings, calendaring, and document management.
• Experience in managing multiple priorities, deadlines, or stakeholders in a fast-paced environment.
• Comfortable working with electronic filing systems, document management tools, and handling high volumes of electronic correspondence; training will be provided.
• Strong attention to detail and excellent organizational skills.
• Professional communication skills.
• Ability to learn legal procedures, court requirements, and internal systems with supervision.
• Intermediate to strong intermediate proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Capability to create, edit, and manage business documents, reports, and correspondence.
• Strong written and verbal communication abilities.
• Exceptional organizational, time management, and prioritization skills.
• Strong interpersonal, relationship-building, and collaboration skills.
• Ability to excel in a fast-paced environment while maintaining accuracy and professionalism.
• Candidates must reside in California.
• Successful candidates will undergo a background investigation.
