This is a fully remote position, open to applicants in Mexico.

📋 Description

• Oversee daily logistics and administrative functions for learning, training, leadership development, credentialing, and specialized learning initiatives.

• Administer intricate training calendars, cohort timelines, facilitator availability, learner registrations, workshops, and leadership development activities.

• Simultaneously manage various programs and activities, ensuring timelines, schedules, and deliverables remain on course.

• Act as the primary contact for learners, facilitators, business partners, vendors, and other involved parties.

• Handle learner communications, which include invitations, confirmations, reminders, schedule updates, and program details.

• Organize facilitator schedules, session logistics, meeting preparations, training materials, and delivery requirements.

• Assist with learner enrollment, registration, attendance monitoring, completion tracking, and program administration.

• Keep precise records of learning programs, calendars, documentation, and participant information.

• Prepare and disseminate learning materials, communications, agendas, and program resources.

• Track program timelines and follow up on outstanding tasks and deadlines.

• Organize meetings and events, covering scheduling, logistics, participant communications, and follow-ups.

• Collaborate with learning, leadership development, training, and business teams on operational requirements and solutions.

• Aid in vendor coordination and administrative tasks for external learning providers and facilitators.

• Utilize learning management systems, scheduling tools, Microsoft Office, and administrative platforms.

• Perform quality checks on schedules, learner records, communications, and materials to ensure accuracy.

• Detect scheduling conflicts, operational challenges, or missing information and facilitate solutions.

• Keep organized documentation and records in accordance with policies and program standards.

• Assist with reporting and monitoring of participation, attendance, completion, and operational metrics.

• Contribute to process enhancements that boost coordination efficiency and improve the learner experience.

• Manage learner information accurately, adhering to policies, confidentiality standards, and data privacy regulations.


⛳️ Requirements

• Proven experience in program coordination, learning operations, training coordination, administrative coordination, project coordination, or a related area.

• Demonstrated ability to manage complex calendars and coordinate several concurrent programs or events.

• Exceptional organizational and scheduling capabilities, with a keen eye for detail and follow-through.

• Capacity to balance competing priorities, deadlines, and a high volume of requests.

• Strong written and verbal communication skills are essential.

• Advanced proficiency in English is required.

• Capability to communicate professionally with learners, facilitators, vendors, and business stakeholders.

• Experience supporting training, learning, leadership development, project management, or program operations is preferred.

• Solid proficiency in scheduling, calendar management, and administrative systems.

• Familiarity with Microsoft Office or similar productivity tools is necessary.

• Valid local legal authorization to work in Mexico is required at the time of hire.

• No concurrent employment, professional engagements, or compensated work for other entities during the employment period.
