This is a fully remote position, open to applicants in Philippines.
• Oversee the progression of immigration cases from intake to resolution.
• Act as the main point of contact for designated clients.
• Organize cases efficiently and monitor deadlines diligently.
• Gather necessary documents and facilitate the firm's workflow without undue delays.
• Deliver case management and client support while refraining from offering legal advice, formulating legal strategies, or drafting substantive legal documents.
• Manage potential clients from the first interaction through scheduling consultations, follow-ups, retention, and transitioning to the legal team.
• Establish a professional, organized, responsive, and compassionate representation of the firm.
• Interact with potential clients via telephone, text, email, and video calls.
• Collect comprehensive immigration and personal history information.
• Keep precise records and ensure regular follow-ups.
• Prevent the loss of viable leads due to ineffective communication or insufficient follow-through.
• Identify situations where attorney involvement is necessary.
• Adhere to scripts, standard operating procedures, intake forms, and workflows.
• Participate in daily morning team meetings.
• At least 2 years of direct experience in a U.S. immigration law firm (Case Manager).
• Practical experience managing immigration cases from onboarding to completion.
• Familiarity with common U.S. immigration case stages, terminology, deadlines, and government notifications.
• Minimum of 2 years of experience in legal intake, U.S. immigration law, or a similar high-volume professional client intake setting (Intake Specialist).
• Significant experience with telephone-based client intake.
• Proficient spoken and written English skills.
• Strong active listening abilities.
• Capacity to collect detailed information while maintaining control of the discussion.
• Exceptional client service capabilities.
• Strong follow-up diligence.
• Experience with CRM or case management systems (Docket-Wise, Clio, MyCase, or similar).
• Excellent documentation and note-taking abilities.
• Competence in managing a high volume of incoming leads or customer service experience.
• Strong organizational and time management skills.
• Comfort in discussing professional fees and consultation requirements.
• Ability to discern when a question necessitates attorney involvement.
• Skill in following scripts, SOPs, intake forms, and workflows without sounding mechanical.
• Capability to work independently and consistently during U.S. Eastern Time business hours.
• Reliable high-speed internet and a professional remote work environment.
• Dependable computer equipment and a suitable remote workspace.
• Strong verbal communication skills and comfort with client-facing interactions.
• Empathetic listening abilities and cultural sensitivity.
• Skill in working with clients from diverse backgrounds and accurately spelling names.

• Availability for daily morning team meetings (10–15 minutes).
• Monday to Friday, 9am to 5pm EST with a 45-minute break (night shift).
