This is a fully remote position, open to applicants in South Africa.
• Oversee the entire intake procedure from the first inquiry to the onboarding of clients.
• Swiftly respond to incoming calls, website inquiries, referrals, and other sources of leads.
• Conduct intake calls to collect client information, evaluate needs, and confirm eligibility for services.
• Establish a rapport with potential clients and their families while delivering outstanding customer service.
• Convert qualified leads into active clients through effective communication and follow-up strategies.
• Keep precise and current records in CRM, EMR, or intake management systems.
• Organize onboarding documentation, verify insurance, and manage necessary paperwork.
• Arrange consultations, assessments, and onboarding meetings with appropriate team members.
• Work closely with clinical, operations, and administrative teams to facilitate smooth transitions into services.
• Monitor intake metrics, lead statuses, conversion rates, and onboarding developments.
• Consistently follow up with potential clients to enhance enrollment opportunities.
• Identify and address intake-related challenges while upholding a high level of client satisfaction.
• Ensure adherence to company policies, confidentiality standards, and industry regulations.
• A minimum of 3 years of experience in intake coordination, client services, admissions, customer success, or a similar field.
• Strong skills in sales, relationship-building, and client conversion.
• Exceptional verbal and written communication skills.
• Demonstrated ability to handle a large volume of leads and inquiries simultaneously.
• Outstanding organizational skills and meticulous attention to detail.
• Experience with CRM, EMR, scheduling, or practice management systems.
• Strong follow-up and problem-solving capabilities.
• Ability to work independently while effectively collaborating with cross-functional teams.
• Proficiency in Microsoft Office Suite and Google Workspace.
• Preferred experience in healthcare, ABA, behavioral health, home care, or service-oriented industries.
• Comfortable working U.S. hours
