πŸ“‹ Description

β€’ Assist in the entire employee lifecycle and manage HR programs and policies.

β€’ Work collaboratively across departments on people processes and initiatives, emphasizing continuous improvement and a positive employee experience.

β€’ Oversee the complete new hire onboarding process, which includes generating offer letters, candidate evaluations, pre-employment screenings, trackers, ADP setup, orientation, onboarding materials, surveys, and 30/60/90-day follow-ups.

β€’ Organize monthly performance management processes, reviews, anniversary notifications, and promotion announcements.

β€’ Handle changes in the employee lifecycle such as hiring, promotions, transfers, leaves, and terminations; update HRIS and ADP records, Jira tickets, and stock option trackers.

β€’ Conduct monthly audits for dual employment and manage subsequent follow-ups.

β€’ Assist with HR metrics, reporting, data requests, and maintaining accurate employee lifecycle records.

β€’ Offer backup support for timecards, open enrollment, benefits management, compliance documentation, Slack moderation, and annual bonus file preparation.

β€’ Provide level 1 support for employee relations and coaching for managers.

β€’ Drive employee engagement initiatives and manage the monthly People Team newsletter.

β€’ Facilitate EOR hiring and onboarding processes in Canada, Australia, Japan, and other international regions.

β€’ Occasionally work adjusted schedules for Japan-related HR operations and coordinate activities across different time zones.

β€’ Assist with or occasionally lead termination discussions and the full-cycle offboarding process.

β€’ Utilize artificial intelligence tools to enhance HR processes and boost efficiency.

β€’ Provide backup for payroll coordination, timecard support, input for compensation changes, PTO tracking, distribution of incentive plans and commission statements, and assist with state payroll tax/unemployment reporting.

β€’ Offer backup for benefits management, including tracking and processing payments for HSA/FSA.

β€’ Maintain HR onboarding documents, IT materials, policies, process documentation, and ensure compliant employee records.

β€’ Oversee the creation, deployment, and completion tracking of harassment training.

β€’ Support documentation and reporting for SOC, ISO, IL5, and 401(k) audits.


⛳️ Requirements

β€’ 2-5 years of experience in HR positions, focusing on payroll, benefits, and compliance.

β€’ Familiarity with HR laws, regulations, and best practices.

β€’ Exceptional communication and interpersonal abilities.

β€’ Capability to uphold confidentiality and manage sensitive information discreetly.

β€’ Proficiency in HRIS (Human Resources Information Systems) and ATS (Applicant Tracking Systems).

β€’ Basic knowledge of Excel and GSuite.

β€’ Strong problem-solving abilities and meticulous attention to detail.

β€’ Outstanding organizational and time management skills.

β€’ Ability to juggle multiple tasks and prioritize effectively in a fast-paced environment.

β€’ Team-oriented with a collaborative and proactive mindset.

β€’ Flexibility and adaptability to change.

β€’ Flexible schedule, especially as onboarding may occur during US evening hours for our Japanese/AU employees.

β€’ Bachelor’s degree in human resources, business administration, psychology, or a related field (preferred).

β€’ SHRM/HRCI Certification (any level) (preferred).

β€’ Strong skills in MS Office, particularly Excel and Word (preferred).

β€’ Knowledge of California, Colorado, and Illinois-specific HR laws (preferred).

β€’ Experience with HR laws outside of the US (preferred).

β€’ Reside in the Chicagoland area (preferred).
