This is a fully remote position, open to applicants in United States.
• Oversee the complete recruitment process for business professional roles, which includes job postings, scheduling interviews, communicating with candidates, and tracking applications.
• Act as the main point of contact for candidates during the recruitment process.
• Administer the onboarding process for new hires, which involves preparing offer letters, conducting background checks, verifying references, fulfilling pre-employment requirements, and organizing orientation schedules.
• Prepare and distribute onboarding paperwork such as I-9 forms, W-4s, tax documents, benefits information, policies, and confidentiality agreements.
• Coordinate employee orientation sessions with HR leadership, IT departments, and practice group administrators.
• Monitor training progress and maintain HRIS training documentation.
• Assist in ensuring compliance with federal, state, and local employment laws and regulations.
• Securely and confidentially maintain personnel files, I-9 forms, and employment records.
• Support the administration and communication of HR policies and procedures.
• Update employee handbooks and policy documents as needed.
• Prepare and file regulatory submissions and reports, including EEO-1 reports and OSHA logs.
• Coordinate both internal and external audits of HR records and procedures.
• Respond to requests for employment verification, unemployment claims, and inquiries from third parties.
• Serve as the initial contact for employee inquiries regarding HR policies, benefits, payroll, and workplace issues.
• Escalate complex or sensitive matters to HR management as necessary.
• Oversee offboarding processes, including conducting exit interviews, collecting firm property, and updating personnel records.
• Bachelor's degree in Human Resources, Business Administration, or a related field is required.
• A minimum of three years of experience in human resources coordination or a similar administrative role is necessary.
• Experience within a law firm or professional services setting is highly preferred.
• Familiarity with federal and state employment laws, HR best practices, and compliance requirements.
• Proven experience with HRIS platforms and a strong technical aptitude.
• Advanced skills in Microsoft Office Suite.
• Knowledge and experience with AI tools.
• Exceptional written and verbal communication abilities.
• Capable of interacting professionally with attorneys, business professionals, and external stakeholders across all levels of the organization.
• Strong organizational and time management skills, with the ability to handle multiple priorities, meet deadlines, and maintain a keen attention to detail.
• Ability to manage confidential and sensitive information with discretion, professionalism, and sound judgment.
• Resourceful and proactive in problem-solving.
• Ability to work independently as well as collaboratively within a team.
• Strong customer service orientation with a cooperative, solutions-oriented mindset.
• Must currently reside in the Eastern Time Zone of the United States.
