Human Resources Assistant

πŸ“‹ Description

β€’ Provide administrative and operational assistance to the Talent Acquisition, Learning & Development, and Human Resources teams

β€’ Assess incoming applications and perform initial screenings of candidates

β€’ Organize and schedule interviews involving candidates, hiring managers, recruiters, and agencies

β€’ Keep precise records in the applicant tracking system

β€’ Communicate professionally with candidates throughout the recruitment process

β€’ Support job postings, sourcing activities, recruitment initiatives, events, and career fairs

β€’ Produce monthly reports on KPIs, turnover rates, and headcount

β€’ Manage and process referral payments for team members

β€’ Facilitate pre-employment activities such as background checks, drug screenings, employment verifications, and onboarding tasks

β€’ Oversee the completion of pre-employment requirements

β€’ Assist with onboarding and documentation for new hires

β€’ Maintain confidential records for team members and HR documentation

β€’ Support various HR projects, including reporting, administrative tasks, recognition programs, reviews, invoices, charitable contributions, surveys, business cards, and holiday party planning

β€’ Aid in PTO setup, I-9 completion, electronic personnel file creation, HR inbox monitoring, visa status/action items, and special projects

β€’ Process tuition reimbursement and manage training assignments and logins using UKG, Coursera, and RedVector

β€’ Offer administrative support to the Learning & Development Manager

β€’ Assist in the coordination of the Internship Program

β€’ Provide backup support for the responsibilities of the Talent Acquisition Specialist, Human Resources Generalist, and Learning & Development Manager as needed


⛳️ Requirements

β€’ High School Diploma or equivalent is required

β€’ 1-3 years of relevant HR or administrative experience

β€’ Strong organizational abilities with outstanding attention to detail

β€’ Excellent verbal and written communication skills

β€’ Strong emphasis on customer service and active listening

β€’ Capability to manage multiple priorities while adhering to deadlines

β€’ Proficiency in Microsoft Office, including Outlook, Excel, Word, and Teams

β€’ Ability to uphold confidentiality and manage sensitive information with professionalism

β€’ Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field is preferred
