This is a fully remote position, open to applicants in India, +1 more country.
• Oversee U.S. state tax and unemployment insurance registrations for new jurisdictions.
• Input account numbers and rates into Rippling.
• Review, take action on, and respond to notices from government and tax agencies.
• Maintain registration and compliance trackers, updating Rippling accordingly.
• Verify Form I-9s for new hires in the U.S.
• Initiate, monitor, and finalize background checks and employment verifications using Checkr.
• Assist with registration and compliance tasks for European entities or EOR arrangements.
• Ensure accurate HR records and conduct audits on Rippling data.
• Generate reconciliation reports to identify any discrepancies impacting payroll or benefits.
• Manage employee lifecycle changes.
• Address routine employee inquiries and escalate complex issues as necessary.
• Oversee and process incoming company mail via a virtual mailbox.
• Maintain organized digital filing systems for employee and compliance records.
• Manage the company swag program, which includes inventory, vendor orders, and shipments.
• Coordinate bi-annual employee recognition awards through the gifting platform.
• Facilitate logistics for virtual events, onboarding sessions, and engagement initiatives.
• Foster a positive and inclusive experience for the remote global team.
• Complete various ad hoc People Operations projects.
• Currently residing in the Philippines or India.
• 3–5 years of experience in HR administration and People Operations supporting U.S.-based employers.
• Previous experience with U.S. state employer registrations for withholding and unemployment insurance, or a proven ability to quickly and accurately learn government and agency processes; this is non-negotiable.
• Understanding of Form I-9 verification requirements and background screening processes.
• Experience in a global or U.S.-headquartered company, collaborating with an international People Operations team.
• Proficiency in HRIS systems; experience with Rippling is a significant advantage.
• Exceptional attention to detail.
• Highly organized and self-motivated, capable of managing multiple trackers, deadlines, and follow-ups.
• Strong written and verbal communication skills in English.
• Discretion, integrity, and professionalism in handling confidential information.
• Reliable high-speed internet connection.
• Professional home office setup that supports confidential discussions and seamless collaboration.
• Availability to work from 8:00 AM to 5:00 PM U.S. Eastern Time.
• Willingness and capability to travel locally for occasional onsite meetings, team gatherings, or business activities.
• Candidates must provide proof of residence and work eligibility.
• Must participate in live video interviews with the camera on and verify identity.
• Employment is contingent upon identity verification and background screening.
• SHRM, HRCI, or equivalent HR certification is a plus, but not required.
