This is a fully remote position, open to applicants in Texas.
• Efficiently process payroll that is timely, accurate, and compliant for over 240 employees spread across more than 29 states.
• Manage the funding of semi-monthly contributions to the 401(k) retirement plan through the appropriate software.
• Investigate employment regulations to guarantee that payroll actions and leaves of absence adhere to legal requirements.
• Oversee off-cycle payments, which include garnishments, adjustments, and manual entries.
• Prepare and file complex government reporting requirements as needed.
• Conduct audits on HRIS details related to earnings, deductions, accruals, and labor allocations.
• Address unemployment claims, employment verifications, and requests for Paycom compliance.
• Act as the internal subject matter expert for HRIS and enhance the utilization of Paycom across its various modules.
• Create HRIS reports and perform analysis utilizing advanced Excel skills and AI tools.
• Manage HRIS user access, permissions, configuration changes, and validate system updates.
• Compile compensation review reports and document procedures for HRIS and payroll.
• Oversee the mapping of payroll to the general ledger and ensure HRIS coding accuracy.
• Collaborate with the Accounting team on payroll journal entries, reconciliations, and labor allocation specifics.
• Maintain the multi-state employment tax registration matrix and address tax agency notices.
• Assist with the audit of the 401(k) plan and the completion of Form 5500.
• Manage leaves of absence and coordinate PTO in conjunction with FMLA regulations.
• Lead the open enrollment process for benefits and support the administration of benefit plans.
• Review qualifying events and reconcile invoices related to benefits.
• Act as an escalation resource for the HR Operations Specialist.
• Take ownership of the employee onboarding and offboarding processes.
• Mentor the HR Operations Specialist and develop relationships with internal clients.
• Bachelor’s degree or equivalent experience in HRIS, payroll, and/or HR operations.
• At least 2 years of experience in U.S. HR operations, particularly in payroll and HRIS.
• Minimum of 2 years processing U.S. payroll across multiple states using an HRIS.
• Previous experience in training, coaching, or mentoring junior team members.
• Strong understanding of HRIS and/or payroll system logic.
• Demonstrated competence in HR technology.
• Advanced Excel skills, including the ability to create lookups, pivot tables, and formulas from scratch.
• Proven experience in developing use cases with AI tools.
• A consultative approach to providing internal client service.
• Exceptional time management skills across various time zones, particularly overlapping with South Africa (7:00 a.m. – 4:00 p.m. CT).
• Strong organizational skills and meticulous attention to detail.
• Proactive and resourceful problem-solving abilities with minimal oversight required.
• Clear and professional communication skills, both verbal and written, along with non-verbal communication.
• Willingness to learn and the ability to adapt as priorities change.
• Capability to build rapport with professionals at all levels.
• Sound judgment, discretion, and confidentiality in handling sensitive information.
• Preferred: Deep understanding of the Paycom platform.
• Preferred: Relevant certifications such as HRIP, CPP, SHRM-CP, or HRCI PHR.
• Preferred: Experience working with Accounting during month-end close, especially regarding payroll-to-general-ledger mapping.
