This is a fully remote position, open to applicants in United States.
β’ Take ownership of accurate and timely US payroll inputs and coordinate cycles with Finance and EOR partners.
β’ Ensure the integrity of US employee data in HiBob and related systems, including records for new hires, changes, and terminations.
β’ Oversee the complete US onboarding and offboarding processes, encompassing documentation, system access, EOR/entity setup, and handoffs.
β’ Identify and communicate US employment, payroll, and EOR compliance risks to the HR Director and Legal/Finance teams.
β’ Act as the main operational HR contact for US managers and employees regarding payroll, leave, HRIS, and lifecycle administration.
β’ Maintain process documentation for US payroll, EOR, and people-ops workflows.
β’ Prepare and verify US payroll inputs; resolve discrepancies with Finance and EOR vendors prior to the pay run lock.
β’ Manage EOR relationships for US employees, including onboarding packages, status updates, terminations, and vendor coordination.
β’ Process US joiners, contract/compensation modifications, and leavers in HiBob and related tools.
β’ Coordinate US onboarding logistics with IT, hiring managers, and EOR partners.
β’ Provide guidance to managers and employees on leave, timekeeping, and fundamental US HR policy inquiries; escalate ER or legal matters as necessary.
β’ Assist in transferring offers and start-date handoffs from Talent Acquisition to people operations and payroll/EOR setup.
β’ Generate headcount, payroll exception, and HRIS data reports for the HR Director and Finance.
β’ Recognize and implement process enhancements or light automation.
β’ Collaborate with Finance on payroll calendars, year-end/tax-related data requests, and audit evidence collection.
β’ 2β4 years of experience in HR operations, people operations, or payroll coordination, with mid-level responsibility for recurring payroll or HRIS cycles.
β’ Practical experience with US payroll processes and/or Employer of Record (EOR) models (e.g., Deel, Remote, Papaya, or similar).
β’ Understanding of US employment fundamentals related to payroll and lifecycle administration (I-9, W-2/contractor distinctions, state leave nuances at an operational level).
β’ Proficiency with an HRIS (HiBob preferred) and familiarity with payroll input files, reconciliations, and exception management.
β’ Strong attention to detail; capable of managing confidential compensation and personal data with care.
β’ Excellent written and verbal English communication; comfortable assisting US managers asynchronously across different time zones.
β’ Organized and able to manage multiple deadlines efficiently, overseeing payroll calendars, onboarding schedules, and vendor SLAs without needing constant supervision.
β’ Bachelorβs degree in HR, Business, or a related field β or equivalent practical experience.
β’ Nice to have: Experience in a SaaS or multi-entity international company with US remote or hybrid employees.
β’ Nice to have: Familiarity with Workable or similar ATS for the offer-to-onboarding transitions.
β’ Nice to have: SHRM-CP, CPP, or similar HR/payroll certification.
β’ Nice to have: Previous collaboration with US benefits brokers or PEO/EOR providers.
