This is a fully remote position, open to applicants in Philippines.
• Manage incoming and outgoing patient inquiries via phone, email, chat, and text.
• Interact with patients in a professional, empathetic manner, ensuring compliance with HIPAA standards.
• Quickly reach out to patients after receiving an inquiry, referral, or prescription.
• Collect demographic, insurance, referral, prescription, and pertinent clinical information.
• Evaluate patient needs by utilizing established product, service, and scheduling protocols.
• Clarify scheduling requirements, next steps, and what patients can expect.
• Address any questions or concerns raised by patients.
• Follow up with patients who have incomplete information or outstanding requirements.
• Arrange appointments for prosthetics and orthotics at the correct clinic.
• Decide on the scheduling location based on patient needs, geographical area, device type, documentation status, and provider availability.
• Assist in patient-facing scheduling and calendar management.
• Ensure that all required information and documentation are received and assessed prior to scheduling.
• Collaborate with patients, physician offices, intake, billing, clinic teams, and support departments to overcome barriers to care.
• Escalate complex issues, missing documentation, unreachable patients, or workflow obstacles.
• Review and verify prescriptions, insurance details, physician information, referrals, and other relevant records.
• Enter and maintain patient data in the appropriate systems.
• Record patient interactions, outreach attempts, appointment specifics, and follow-up activities.
• Organize, prioritize, and respond to patient communications promptly.
• Maintain structured follow-up processes for multiple patient cases.
• Safeguard patient confidentiality and ensure HIPAA-compliant communication and documentation.
• Work collaboratively with intake, billing, clinic operations, support teams, and leadership.
• Engage in virtual training, coaching sessions, team meetings, and remote huddles.
• Provide assistance with internal calendar management when necessary.
• Participate in community outreach initiatives or virtual health education sessions upon request.
• Deliver timely, accurate, and compassionate patient outreach and scheduling services for a U.S.-based prosthetics and orthotics healthcare provider.
• Relevant experience in healthcare, patient scheduling, patient access, customer service, call center operations, sales, or other patient-facing roles.
• Experience handling inbound and/or outbound calls.
• Comfortable with proactive patient outreach and adhering to established scripts or workflows.
• Ability to professionally resolve questions, concerns, and objections while guiding patients towards the appropriate next steps.
• Exceptional verbal and written communication skills.
• Strong listening capabilities to understand patient needs, concerns, urgency, and scheduling obstacles.
• Compassionate, patient, and professional communication style.
• Strong organizational and time management abilities.
• Excellent attention to detail and accuracy.
• Capable of managing multiple patient cases, communications, follow-ups, and deadlines simultaneously.

• Ability to collaborate effectively with intake, billing, clinic operations, physician offices, support teams, and leadership.
• Knowledge of HIPAA regulations and a commitment to safeguarding confidential patient information.
• Positive and resilient attitude when addressing rejection, upset patients, incomplete information, or unsuccessful outreach attempts.
• Proficient in speaking and writing clear, professional English.
• Must have relevant healthcare, administrative, customer service, or patient-facing work experience.
• Must be able to provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Must be available for video meetings with the camera on when required.
• Must be comfortable taking part in virtual training, coaching sessions, and remote team huddles.
• Must maintain HIPAA-compliant work practices and uphold patient confidentiality at all times.
• Must not have concurrent employment during scheduled working hours.
• Must be available for the required 40-hour workweek.
• Reliable laptop or desktop computer.
• High-speed internet connection with a minimum of 25 Mbps.

• Preferred: 1–3 years of relevant patient-facing or healthcare experience.
• Preferred: Experience in prosthetics and orthotics, DME, medical scheduling, patient access, referral and prescription coordination, insurance verification or collection, physician-office communication, CRM platforms, EHR/EMR systems, VoIP or healthcare phone systems, chat or text-based patient communication platforms, or U.S.-based healthcare organizations.
