This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the post-award administration of a diverse portfolio of federal, state, foundation, and corporate grants and contracts.

• Keep a precise inventory of all active grants, contracts, cooperative agreements, and subgrants.

• Assess executed agreements and document, communicate, and monitor all financial, programmatic, and compliance obligations.

• Facilitate post-award transitions among Advancement, Programs, Finance, and other departments.

• Manage amendments, budget adjustments, no-cost extensions, renewals, and closeouts while ensuring proper documentation and audit trails are maintained.

• Oversee grant budgets, including monitoring spending, revenue, expenditures, balances, commitments, anticipated spending, and staffing allocations.

• Conduct monthly reviews of each grant or contract with finance, revenue, and program leaders.

• Track budget-to-actual performance and identify any financial risks or discrepancies.

• Prepare or oversee the creation of financial reports, invoices, reimbursement requests, and other submissions required by funders.

• Assist in revenue recognition, forecasting, cash-flow planning, reconciliations, and financial reporting.

• Support annual audits, Single Audits, funder audits, NICRA calculations, and monitoring reviews.

• Administer and supervise subgrants, subawards, and partner agreements.

• Ensure subgrant agreements are crafted, reviewed, approved, and finalized prior to any work or payments commencing.

• Maintain a thorough tracker for subgrants that includes details on partners, awards, terms, deliverables, reporting, payments, budgets, and compliance.

• Monitor partner performance and expenditures against deliverables and approved budgets.

• Assist with subrecipient risk assessments, particularly for federally funded awards.

• Address any overdue reporting, performance issues, and subrecipient risks promptly.

• Coordinate the timely closeout of subgrants and partner agreements.

• Create, maintain, and distribute an organization-wide dashboard for grants, contracts, and subgrants.

• Provide portfolio updates to the Director of Accounting and Finance and periodic executive-level reports to senior leadership.

• Identify, communicate, and escalate any financial, compliance, contractual, and programmatic risks.

• Stay informed about relevant grant requirements, including 2 CFR Part 200 and subrecipient monitoring standards.

• Ensure that appropriate financial and programmatic documentation is consistently maintained.

• Aid in the development and implementation of grants-management policies, procedures, internal controls, and standard operating procedures.

• Recognize opportunities to enhance controls and minimize risk.


⛳️ Requirements

• A minimum of 5-7 years of progressively responsible experience in grants management, grants administration, sponsored programs, nonprofit finance, contracts management, or a closely related field.

• Proven experience in administering and monitoring federal, state, and private grants and contracts.

• Strong expertise in post-award grants management, encompassing budgeting, financial reporting, compliance, deliverables tracking, renewals, amendments, and closeouts.

• Experience in administering and monitoring subgrants, subawards, subrecipients, and partner agreements.

• Familiarity with federal grant requirements, including 2 CFR Part 200 (Uniform Guidance) and applicable subrecipient monitoring standards.

• Strong financial and analytical capabilities, including experience in reviewing grant budgets, expenditures, forecasts, and budget-to-actual outcomes.

• Experience in preparing or coordinating funder reports, invoices, reimbursement requests, and other required grant submissions.

• Proven experience in developing and maintaining grant-management dashboards, trackers, calendars, and reporting tools.

• Ability to manage multiple grants, deadlines, reporting obligations, contracts, and stakeholders simultaneously.

• Excellent project-management, organizational, analytical, and problem-solving abilities.

• Exceptional written and verbal communication skills.

• Ability to identify, communicate, and escalate financial, compliance, contractual, and programmatic risks as needed.

• A Bachelor's degree in Business Administration, Finance, Accounting, Public Administration, Nonprofit Management, or a related field is preferred.

• Candidates lacking a degree but possessing 8-10 years of substantial, directly relevant grants-management experience will be strongly considered.

• An MBA and/or CPA designation is a plus.

• Supervisory experience is preferred.

• Experience managing a complex portfolio of federal, state, and private grants and contracts is preferred.

• Experience supporting federal audits, Single Audits, funder monitoring reviews, or similar compliance activities is preferred.

• Experience working in a nonprofit or mission-driven organization with multiple funding sources is preferred.

• Familiarity with Salesforce, NetSuite, or similar CRM, grants-management, and financial systems is preferred.

• Advanced Excel skills and experience in developing dashboards and management reporting are preferred.
