This is a fully remote position, open to applicants in United States.
• Supervise the administrative and financial lifecycle of institutional, federal, state, and private grant awards.
• Ensure compliance, create project budgets, manage reporting timelines, and foster collaboration among clients, finance teams, and external funding sources.
• Deliver post-award grants management services, compliance support, contract preparation, billing, reimbursement requests, and reporting.
• Handle assigned grants and implement established policies and procedures.
• Generate reports and documentation while providing guidance to program staff.
• Aid in audits, monitoring, special projects, and everyday grant administration.
• Act as the primary day-to-day contact for assigned clients concerning routine grants management issues.
• Address client inquiries and escalate complex compliance or financial matters to the SGMS.
• Assist in the administration of federal, state, local, and private foundation grants throughout the entire grant lifecycle.
• Support award setup, implementation, monitoring, grant closeout, agreement reviews, requirement summaries, deadline tracking, modifications, amendments, and renewals.
• Create and sustain grant budgets; evaluate expenditures for allowability, allocability, reasonableness, and alignment with approved budgets.
• Draft reimbursement requests and financial reports for SGMS evaluation.
• Track budget-to-actual expenditures, identify variances, reconcile expenditures with accounting records, and assist with budget adjustments and reallocations.
• Help with subrecipient risk assessments, report reviews, documentation monitoring, checklists, and corrective action plans.
• Draft financial, compliance, and performance reports and maintain grant databases, dashboards, tracking systems, and audit-ready documentation.
• Support audit preparation, Single Audits, monitoring visits, grant closeouts, financial reconciliations, final reporting, and record retention.
• Develop templates, SOPs, and training materials; participate in client training and offer technical assistance.
• Collaborate with SGMS, finance staff, program managers, grant writers, client leadership, and cross-functional teams to fulfill deliverables.
• 3–5 years of direct experience in grants management, sponsored programs, or post-award financial administration in a nonprofit or higher education environment.
• Familiarity with state and federal grant programs, including relevant statutes, regulations, policies, and procedures.
• Knowledge of 2 CFR 200 Compliance Standards, Uniform Grants Regulations (UGR), and compliance guidelines for federal, state, local, private, or other grant programs.
• Strong commitment to the NGMA Code of Ethics.
• Experience in grant writing, grants management, budgeting, and contracts.
• Proficient in computer programs, software, and online federal government grants management systems.
• Exceptional written and verbal communication skills, with the ability to clearly and concisely explain complex grant requirements.
• Strong organizational and project management capabilities; adept at managing multiple grants and deadlines concurrently.
• Ability to identify and proactively address grant-management and compliance challenges.
• Experience working collaboratively with remote teams across various time zones.
• Familiarity with online federal government grants management systems.
• Ability to quickly become proficient in Asana or other project management software and grant database management programs.
• Proficient in Microsoft 365 applications: Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint.
• Experience with virtual meeting platforms such as Teams and Zoom.
• Bachelor’s degree in Business Administration, Accounting, Finance, Public Administration, Non-Profit Management, or a related field, or equivalent experience.
• Certification as a Grants Management Specialist (CGMS) or Certified Research Administrator (CRA) is a plus.
• Minimum of 40 hours of Paid Sick Time (PST), based on state of residency.
• Up to 80 hours of Paid Time Off (PTO) each calendar year for full-time employees.
• 80 hours of Paid Vacation Time after one year of continuous employment for full-time employees.
• 120 hours of Paid Vacation Time after the 5th year of continuous employment for full-time employees.
