This is a fully remote position, open to applicants in Texas.
• Ensure precise documentation for around 1,600 vehicles throughout their entire lifecycle
• Oversee vehicle registration, insurance, licenses, inspections, maintenance records, and other necessary paperwork
• Facilitate vehicle onboarding and offboarding processes, including registration, insurance, documentation, and system setup or removal
• Detect and rectify any missing, expired, or incorrect documentation
• Perform regular audits and reconciliations within Fleetio, Azuga, A2B, and accompanying records
• Maintain accurate and comprehensive records in Fleetio, aiming for over 95% current maintenance data
• Log and track scheduled and unscheduled maintenance, inspections, vehicle status, and maintenance timelines
• Monitor overdue maintenance and inspections, ensuring prompt resolution
• Identify recurring maintenance challenges, data inconsistencies, and process improvements that impact fleet availability
• Keep accurate records of vehicles, employees, drivers, and vehicle assignments in Azuga
• Oversee employee and driver onboarding and offboarding within the system
• Ensure consistency of information between Azuga, Fleetio, and other fleet management systems
• Manage the fleet fuel card program, which includes issuance, activation, modifications, and cancellations
• Guarantee accurate assignment of fuel cards to employees and/or vehicles and address any discrepancies
• Collaborate with Operations, Maintenance, HR, Insurance, vendors, and other stakeholders to address fleet issues and uphold operational readiness
• Background in fleet administration, fleet management, transportation, logistics, or a similar area
• Proven experience with Fleetio and Azuga
• Knowledge in managing vehicle registration, insurance, inspections, maintenance, and compliance documentation
• Strong skills in data entry, Excel, computer usage, organization, and time management
• Outstanding attention to detail and data accuracy
• Capability to handle a large volume of vehicle and employee records
• Experience in fuel card administration or fuel management
• Ability to identify discrepancies, create consistent processes, and independently resolve issues proactively
• Preferred: Experience supporting a fleet of over 1,000 vehicles, ideally around 1,600 vehicles
• Preferred: Familiarity with vehicle lifecycle management, fleet compliance, maintenance/inspection programs, and employee-to-vehicle assignments
• Preferred: Experience in auditing and reconciling data across various fleet management systems
