Finance and Systems Coordinator

This is a fully remote position, open to applicants in India.

📋 Description

• Assist in the upkeep of financial systems, particularly ERP systems, with a key focus on project time and expenses.

• Oversee the support services request system and address time-entry inquiries from team members.

• Add and remove employees and contractors from projects to maintain precise time tracking.

• Facilitate the onboarding process for employees and consultants.

• Educate team members on navigating the ERP, entering time, approvals, and making adjustments.

• Detect and rectify any time-entry discrepancies.

• Manage the time and expense helpdesk.

• Oversee and evaluate timesheet data entry, making corrections as needed.

• Supervise the daily timesheet administration checklist to ensure adherence to company policies.

• Assist with large-scale adjustments to timesheets.

• Monitor timesheet discrepancies and issues, communicating with the immediate supervisor.

• Supply timesheet information and tailored reporting to Resourcing, Finance, Project Management, Functional Departments, and Human Resources.

• Process and keep track of exception timesheets, including those that are unapproved or not submitted.

• Provide timesheet reporting to Finance and other related departments.

• Support the month-end closing process from a time-entry viewpoint.

• Execute ad-hoc assignments as required.


⛳️ Requirements

• High School Diploma or an equivalent/local equivalent qualification.

• A minimum of three years of relevant experience in a professional administrative role within a fast-paced setting.

• Proficiency in basic analytical tools/software, such as Excel.

• Excellent communication and interpersonal abilities.

• Strong attention to detail with the capability to manage multiple tasks concurrently.

• Advanced Excel/Microsoft Office skills.

• Ability to collaborate effectively with various departments within the organization.

• Outstanding organizational skills.

• Flexibility to handle multiple assignments with diverse tasks.

• Quick learning ability.

• Capability to work independently as well as part of a team.

• Proactive follow-up with staff to ensure compliance.

• Bachelor's degree in finance, business, or a related discipline (preferred).

• Familiarity with Microsoft Office products, including PowerBI (preferred).

• Experience in Timesheet Administration Services (preferred).

• Experience in a global integrated ERP environment (preferred).

• Experience in the CRO industry (preferred).
