This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the exhibitor and sponsor email inbox, responding to incoming inquiries.

• Manage inbound site inquiries and reactive leads, ensuring they are triaged and routed appropriately.

• Assist in the onboarding process for new exhibitors and sponsors by utilizing standard templates and guidelines.

• Schedule discovery and follow-up meetings for the Senior Manager of Field Event Sales.

• Provide on-site operational assistance for exhibitors and sponsors during internal HighLevel events.

• Monitor and follow up on unsigned contracts.

• Ensure that deposits are collected in accordance with payment timelines.

• Keep accurate records of contract statuses and payment activities.

• Track deliverables for exhibitors and sponsors, gathering necessary assets ahead of events.

• Maintain dashboards and tracking systems for outstanding items.

• Elevate issues and risks to the Senior Manager.

• Participate in one-on-ones and regular Events team meetings.

• Collaborate with Events, Marketing, and Billing teams.

• Assist with vendor and sponsor communication and documentation.

• Organize internal documentation and maintain exhibitor and sponsor records within HighLevel CRM.

• Record recurring challenges and provide insights for process enhancements.

• Adhere to compliance guidelines and complete necessary approvals.


⛳️ Requirements

• Proven experience in supporting sales, events, or operational functions within a fast-paced environment.

• Exceptional attention to detail in managing timelines, deliverables, and follow-up processes.

• Outstanding written and verbal communication skills with a friendly, professional demeanor.

• Ability to work independently in a fully remote environment while maintaining proactivity and accountability.

• Strong interpersonal skills for effective collaboration with both external partners and internal teams.

• Organized and dependable approach to handling multiple priorities.

• Familiarity with Google Workspace, Zoom, Slack, HighLevel CRM, and AI tools like ChatGPT and Claude.

• 1 to 3 years of experience in a sales support, account coordination, or administrative sales position.

• Experience in event coordination, hospitality, or customer-facing roles is advantageous.

• High school diploma or equivalent is required.

• A Bachelor's degree in Event Management, Communications, Marketing, or Hospitality Management is strongly preferred.

• Experience in SaaS or high-growth settings is a plus.

• Some travel will be necessary to support internal HighLevel events throughout the year.
