This is a fully remote position, open to applicants in Mexico, +2 more countries.
• Take charge of and enhance the CEO's calendar and inbox, which includes scheduling, allocating focus time, ensuring timely communication, flagging priorities, and aligning professional and personal calendars.
• Arrange meetings with the internal team, landlords, legal advisors, and business partners.
• Organize and oversee flights, accommodations, and itineraries for site visits, meetings, and personal travel.
• Document, structure, and consistently refine workflows and standard operating procedures (SOPs) using Notion or comparable tools.
• Weekly updates to SOPs based on recurring feedback during check-ins, with an emphasis on increasing ownership and autonomy over time.
• Manage scheduling, document preparation, and follow-ups for lease negotiations and legal matters in an administrative support role.
• Schedule and coordinate candidate interviews for leadership positions.
• Assist with light personal and family scheduling requirements.
• Act as the primary communication bridge between the CEO, internal team, and external partners.
• Conduct weekly check-in meetings, present completed tasks, gather feedback, and provide structured updates regarding priorities, progress, and deadlines.
• Utilize Notion, Slack, Google Workspace, Todoist or similar task management platforms, Zoom, and email summaries.
• Minimum of 3 years of experience as an Executive Assistant, Operations Coordinator, or in a similar role supporting senior leadership.
• Exceptional written and verbal communication skills.
• Proficient in technology and comfortable operating within digital ecosystems, such as Slack, Notion, and Google Workspace.
• Strong abilities in organization and prioritization.
• Proven capability to handle sensitive information with discretion, particularly regarding legal and lease-related matters.
• Proactive, self-motivated, and adaptable to changing needs.
• Experience managing both business and personal responsibilities for a founder or executive is advantageous.
• Familiarity with building and maintaining SOPs.
