This is a fully remote position, open to applicants in United States.
• Act as a trusted advisor and strategic partner to the CEO and the executive leadership team.
• Anticipate the needs of executives while managing priorities, business rhythms, and essential deliverables.
• Prepare executives for leadership meetings, client engagements, investor discussions, and Board meetings.
• Lead and coordinate high-priority strategic initiatives across various departments.
• Plan and execute Quarterly Business Reviews, leadership meetings, executive offsites, and Town Hall meetings.
• Monitor the progress of strategic initiatives and ensure accountability for deliverables and milestones.
• Develop and maintain executive dashboards, project trackers, and reporting tools.
• Document leadership decisions, create action plans, and ensure follow-through.
• Manage the preparation for Board of Directors meetings, including agendas, content, presentations, and reporting.
• Create executive-ready presentations for Board, investor, leadership, and client meetings.
• Draft executive communications, organizational announcements, and strategic messaging.
• Oversee and optimize executive calendars while prioritizing requests and opportunities.
• Coordinate domestic and international travel, executive events, and meeting logistics.
• Manage administrative workflows, expense reports, correspondence, and sensitive business matters.
• Serve as a liaison between executive leadership and both internal and external stakeholders.
• Support interactions with clients, sponsors, investors, and partners.
• Facilitate cross-functional collaboration and assist with employee engagement and leadership communication initiatives.
• Perform additional duties as assigned.
• Bachelor’s degree in business administration, Life Sciences, Healthcare Administration, or a related field.
• Two (2) to four (4) years of professional experience in an executive assistant, administrative partner, business operations, or project management role.
• Experience in a CRO, biotechnology, pharmaceutical, healthcare, or life sciences environment is preferred.
• Proven project and program management experience leading cross-functional initiatives.
• Advanced proficiency in Microsoft PowerPoint, Excel, and dedicated Project Management software (e.g., Asana, Monday, MS Project).
• Strong skills in presentation development, business writing, and executive communication.
• Experience in preparing executive-level reports, dashboards, and materials for the Board of Directors.
• Exceptional organizational, analytical, and problem-solving skills.
• Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
• High degree of professionalism, discretion, and sound judgment in handling confidential information.
• Fully remote work arrangement.
• Occasional travel to HQ for management meetings.
