Executive Assistant – Chief of Staff

📋 Description

• Take charge of the founder's calendar and manage their routine from start to finish.

• Monitor the founder’s daily schedule, foresee potential delays, track commitments, and eliminate low-priority tasks.

• Serve as a decisive gatekeeper and direct attention towards key priorities.

• Establish boundaries to minimize distractions and enforce deadlines effectively.

• Adapt daily workflows dynamically to ensure ongoing progress.

• Capture and distill rapid-fire ideas into actionable items, delegation tracks, and project scopes.

• Collaborate with AI engines to transform raw AI outputs into completed operational assets.

• Identify tasks suitable for delegation to project managers or contractors.

• Uphold a standard of 100% completion and address any outstanding tasks.

• Investigate reasons behind delayed tasks and pinpoint structural bottlenecks.

• Monitor multi-project timelines across music production, client engagements, and consulting efforts.

• Manage asset transfers using Dropbox.

• Maintain a fundamental awareness of studio production environments.

⛳️ Requirements

• C1 English proficiency is mandatory; the selected candidate will communicate exclusively in English throughout the shift.

• Submission of a resume and an audio recording in English is required.

• High levels of agency, emotional maturity, confidence, and resilience are essential.

• Must be assertive, driven, proactive, and comfortable with upward management.

• Exceptional attention to detail and high operational standards are necessary.

• Comfortable utilizing AI agents, LLMs, and modern automation tools on a daily basis.

• An extremely proactive communication style; must be comfortable seeking answers and asking direct questions.

• Familiarity with Manus, Gemini, Claude, Instinct, Marbleism, Dropbox, Google Workspace, and project management tools like Asana or ClickUp.

• A basic understanding of Avid Pro Tools and audio production workflows is a significant advantage.

• A publicly accessible 30–90 second English audio or video recording must be provided.

• A screenshot of an internet speed test result must be uploaded.

• A portfolio link without contact information is required.
