📋 Description

• Provide exceptional executive administration, judgment, and follow-through to support Dropbox’s Chief Business Officer.

• Manage and enhance a complex strategic calendar that encompasses executive priorities, customer and revenue obligations, leadership forums, preparation time, focus time, travel, and personal commitments.

• Organize meetings by coordinating attendees, context, agendas, pre-reads, links, decision points, and follow-up actions.

• Oversee end-to-end domestic and international travel arrangements, including itineraries, transportation, hotels, meeting logistics, time zones, contingencies, and preparation or recovery time.

• Collaborate with the CBO’s Chief of Staff to monitor priorities, risks, requests, decisions, and follow-ups.

• Work together with executive administrators, Chiefs of Staff, business partners, and cross-functional leaders to address scheduling and operational needs.

• Manage communication drafts, deadlines, approvals, distribution lists, links, and follow-through.

• Plan and execute executive meetings, offsites, and leadership events with a focus on attendee experience, budget, and contingencies.

• Maintain administrative systems, including expenses, contacts, recurring meetings, action-item tracking, and executive reference materials.

• Identify risks early, provide recommendations, and manage issues through to resolution.

⛳️ Requirements

• A minimum of 8 years of experience supporting a senior executive, ideally a C-level executive or equivalent leader within a dynamic, fast-paced organization.

• Proven expertise in managing a highly intricate executive calendar across various time zones, competing priorities, recurring leadership forums, customer commitments, and protected personal or focus time.

• Experience in planning complex domestic and international travel, including contingency planning and coordination for multiple travelers, hosts, vendors, and time zones.

• Strong written and verbal communication abilities, capable of conveying information directly, concisely, and appropriately to senior leaders and cross-functional partners.

• Experience collaborating closely with a senior Chief of Staff on systems- and process-driven approaches to manage competing priorities effectively.

• Proven skills in independently prioritizing tasks, making informed decisions with limited information, and escalating risks early with recommendations.

• Demonstrated history of accurate, detail-oriented execution in scheduling, events, communications, expenses, and follow-through.

• Experience being part of an administrative community and collaborating across executive offices rather than functioning as an isolated support partner.

• Comfortable working in a rapidly changing environment where priorities shift often and the individual must continuously adapt plans without overlooking critical details.

• High proficiency with workplace systems, including Slack, Gmail, Concur, Navan, Google Docs, Dropbox, and AI tools to enhance efficiency through human-machine collaboration.

• Ability to primarily work on Eastern Time, with flexibility for occasional EMEA and APJ commitments and executive travel.

• Preferred: Experience supporting a Chief Business Officer, Chief Revenue Officer, Chief Marketing Officer, or another executive responsible for a broad, customer-facing organization.

• Preferred: Background in technology, SaaS, or another business with intricate customer, revenue, and cross-functional operational rhythms.

• Preferred: Experience assisting with executive customer engagements, leadership offsites, board-related preparation, or S-team-level events.

• Preferred: Familiarity with responsibly utilizing AI to enhance administrative workflows while ensuring accuracy, privacy, judgment, and final outputs are validated personally.

• Preferred: Project or program management experience that complements but does not overshadow strong executive administration fundamentals.

• Competitive salary and performance-based bonuses.

• Comprehensive health and wellness benefits.

• Opportunities for professional development and growth.

• Flexible work arrangements to promote work-life balance.

• Collaborative and inclusive company culture.
