Executive Assistant, Business Development Representative

This is a fully remote position, open to applicants in Honduras, +6 more countries.

📋 Description

• Collaborate with internal teams to ensure efficient completion of tasks and adherence to deadlines.

• Assist in the client onboarding process and the collection of necessary documents.

• Support lead follow-up initiatives to enhance consultation attendance and conversion rates.

• Ensure accurate maintenance of client and prospect data within CRM systems.

• Track and monitor new leads throughout the intake and consultation phases.

• Organize and maintain administrative records, documents, and communications.

• Oversee executive calendars, appointments, and scheduling priorities.

• Provide general executive and operational support to facilitate smooth daily business functions.

• Identify and implement improvements in administrative and client management processes.

• Uphold confidentiality when managing sensitive client and company information.

• Manage multiple assignments while ensuring high accuracy and attention to detail.

• Prepare reports, summaries, and other administrative documentation as required.

• Respond to inquiries in a professional manner and ensure timely communication.

• Act as a primary contact for clients and potential clients.

• Coordinate meetings, consultations, and follow-up communications.


⛳️ Requirements

• Must be located in the Eastern Standard Time zone.

• Office hours are from 8:00 AM to 5:00 PM.

• Prior administrative experience in a Law Firm is required.

• Calendar Management experience is mandatory.

• Familiarity with client intake, lead follow-up, or sales-related administrative processes is preferred.

• Capability to track prospective clients and maintain organized follow-up systems.

• Experience in handling client inquiries and coordinating consultations.

• Comfortable and professional in communicating with potential clients persuasively.

• Experience with CRM systems is preferred.

• Knowledge of sales pipelines, lead tracking, and client relationship management is preferred.

• Strong organizational skills are essential.

• Must possess a confident and professional demeanor.

• A structured and methodical approach to work is necessary.

• Proactive mindset with the ability to anticipate needs is required.

• Excellent written and verbal communication skills are mandatory.

• Effective time management and prioritization skills are essential.

• Attention to detail is critical.

• Ability to manage multiple tasks at once is required.

• Professional and client-focused communication is a must.

• Comfort working independently in a remote setting is necessary.

• Proficiency in both English and Spanish is required.
