This is a fully remote position, open to applicants in Florida.
• Offer administrative assistance and office management for one or more Chief Officers.
• Oversee calendars, appointments, expense reports, correspondence, travel arrangements, itineraries, agendas, and travel meeting documentation.
• Anticipate requirements and deliver comprehensive administrative support for designated executives.
• Act as a backup for the receptionist and the reception area.
• Organize records, manuals, databases, and files.
• Draft and disseminate correspondence, announcements, memoranda, spreadsheets, and related materials.
• Uphold strict confidentiality regarding Company information and operational documents.
• Facilitate seamless communication between assigned executives and internal departments.
• Process invoices, purchase orders, and expense reports as required.
• Maintain departmental budget and expense documentation.
• Provide coverage in the administrative suite as instructed.
• Prepare for executive-level committee meetings and strategic planning sessions.
• Document meeting minutes.
• Execute additional duties as assigned.
• Represent the Company in a professional manner and deliver quality services to clients.
• Adhere to relevant regulations, Company policies, procedures, and standard practices.
• Observe health, safety, and security protocols.
• Maintain confidentiality concerning patients, families, colleagues, and sensitive circumstances.
• Utilize resources responsibly and engage in organizational, departmental, individual, quality improvement, research, educational, and professional development activities.
• High school diploma or GED is required; a college degree is preferred or an equivalent combination of education and experience.
• At least three (3) years of experience in an administrative support and office management role for a senior executive.
• Excellent written and verbal communication skills with the ability to interact professionally with both internal and external customers.
• Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Highly organized with the capability to effectively manage multiple priorities simultaneously while ensuring confidentiality.
• Ability to function with minimal supervision.
• Capacity to anticipate needs and exhibit initiative when necessary.
• Able to perform tasks with a high level of accuracy while adhering to deadlines.
• Ability to remain composed and professional in high-pressure situations, maintaining performance stability.
• Successfully complete competency requirements for the position.
• Consent to drug and/or alcohol testing following a conditional employment offer.
