This is a fully remote position, open to applicants in Pennsylvania.
• Oversee the planning and execution of client-oriented events, such as conferences, networking gatherings, seminars, sponsorship engagements, client entertainment, and business development efforts.
• Direct the organization and execution of internal firm events, including retreats, holiday festivities, summer gatherings, training sessions, and employee engagement activities.
• Formulate event strategies that align with the firm's growth objectives and client relationship goals.
• Assess sponsorship opportunities and manage associated benefits, including speaker slots, attendee listings, booth logistics, marketing outputs, and event participation.
• Conduct research, evaluate, negotiate, and recommend venues, catering, décor, entertainment, promotional materials, and other event-related suppliers and services.
• Sustain vendor relationships while identifying new vendors and event opportunities.
• Coordinate contract assessments, payment timelines, compliance requirements, and vendor deadlines.
• Create and oversee event budgets, track expenditures, and manage invoice reviews and reconciliations.
• Supervise the event calendar, key dates, sponsorship commitments, planning milestones, and project deliverables.
• Collaborate on invitations, registration communications, reminder emails, follow-up messages, social media promotions, and event-related content.
• Identify target attendees, client outreach opportunities, and follow-up strategies.
• Maintain event records in CRM and marketing databases, including attendee engagement, ROI metrics, and follow-up actions.
• Monitor and report on event performance, attendance, client engagement, leads generated, follow-up actions, and business development results.
• Offer guidance to the Events Coordinator regarding priorities, timelines, logistics, and execution.
• Travel to events to provide leadership and logistical support.
• Manage multiple projects and enhance processes, efficiency, event quality, and measurable outcomes.
• Develop and uphold event planning procedures, workflows, templates, efficiencies, and best practices.
• Bachelor's degree in Marketing, Communications, Event Management, Hospitality Management, or a related field.
• 5-7+ years of experience in event planning, business development, marketing, or a related role within a law firm or professional services setting.
• Proven experience in managing large-scale events, sponsorship initiatives, vendor relationships, and event budgets.
• Willingness to travel as necessary, including occasional evenings and weekends.
• Must be located near a major airport hub, ideally on the East Coast.
• Experience in managing event budgets, vendor contracts, sponsorship deliverables, and event reporting.
• Background in a professional services environment.
• Legal industry experience is preferred but not essential.
• Strong organizational, project management, and strategic planning capabilities.
• Proficiency in Microsoft Office Suite is required.
• Excellent written and verbal communication skills.
• Familiarity with Monday.com, Nexl, Canva, or similar MarTech platforms is preferred but not mandatory.
• Fully remote work designation.
