This is a fully remote position, open to applicants in United States.
• Organize and implement logistics for Partner Fly-Ins (NCSW, NSCW), Congress on Campus visits, and designated technical assistance sessions.
• Coordinate logistics for three annual State Leader Council meetings and APCSA gatherings, which includes managing venue and vendor arrangements, sending invitations, and preparing materials.
• Arrange and facilitate the CMO monthly calls, SLC monthly calls, and quarterly meetings for school and network leaders.
• Create agendas and briefing documents, while ensuring action items are tracked to completion.
• Act as the primary logistics and operations partner for the Senior Director of Programs regarding the National Charter Schools Conference.
• Collaborate with the Communications team to lead marketing and promotional efforts for the conference, aiming to boost registration and session participation.
• Manage logistics and operational responsibilities on-site during the conference, which includes vendor coordination, troubleshooting, and executing the day’s activities.
• Work alongside the Programs team to coordinate SLC meetings and receptions at NCSC.
• Promote fly-ins, gatherings, webinars, and calls to enhance registration and attendance.
• Develop marketing materials and communications that support ongoing programming efforts.
• Report to the Chief of External Engagement and work in conjunction with senior directors and partner teams.
• 4–7 years of experience in event planning, meeting logistics, or program operations, preferably in a nonprofit, association, or political setting.
• Proven experience in marketing or promoting events to a professional audience, ideally including large-scale conferences.
• Skilled in managing vendor and venue relationships, as well as overseeing multi-city or multi-event logistics calendars.
• Experience collaborating with a Communications or Marketing team on joint deliverables.
• Exceptional organizational skills with the ability to manage multiple concurrent events and calls without overlooking details.
• A marketer’s perspective for enhancing registration and engagement.
• Ability to remain calm under pressure when changes occur last minute regarding travel, venues, or schedules.
• Capability to work collaboratively with senior leaders and partner teams.
• Regular travel for fly-ins, convenings, and NCSC is required.
