This is a fully remote position, open to applicants in Philippines.
• Oversee and manage ShiftCare’s global events program across Australia, North America, and Canada.
• Take responsibility for complete event planning, including timelines, milestones, and checklists.
• Source, contract, and communicate with venues, caterers, AV suppliers, freight companies, and event partners.
• Create and manage registration pages, attendee lists, confirmations, and badges.
• Coordinate the production of brochures, banners, signage, pull-up banners, and digital materials with the design team.
• Organize booth freight, collateral, and giveaway shipments across regions, including customs documentation.
• Generate purchase orders, monitor event expenditures against the budget, reconcile invoices, and report discrepancies.
• Oversee speaker briefs, bios, headshots, presentations, and management of the exhibitor portal.
• Develop and maintain pre-event, onsite, and post-event checklists alongside detailed run sheets.
• Reconcile lead capture, assess ROI, conduct post-event surveys, and document debriefings.
• Alleviate the event administration burden on Sales and Marketing teams.
• Create a replicable event playbook featuring templates, checklists, run sheets, and budgets.
• Provide post-event ROI analysis and debriefs within one week following each event.
• Ensure that freight, registrations, and collateral adhere to deadlines.
• Minimum of 2 years in event coordination, event management, or marketing operations.
• Ideally, experience supporting events across different regions or time zones.
• Demonstrated experience overseeing the complete event lifecycle, including planning, registrations, logistics, run sheets, and post-event reporting.
• Highly organized and detail-focused, with experience utilizing checklists, run sheets, and project plans.
• Strong proficiency in written and spoken English.
• Comfortable working remotely and asynchronously with a global team.
• Availability to overlap with Australian business hours and days, Monday to Friday, AEST/AEDT.
• Proficient in Google Workspace.
• Familiarity with project management tools such as Asana, Monday, ClickUp, or similar platforms.
• Experience with event and registration systems.
• Comfortable using AI tools for drafting, scheduling, attendee communications, and reporting.
• Ability to manage multiple events at various stages concurrently.
• Experience in B2B SaaS or healthcare technology events is a plus.
• Familiarity with international shipping, customs documentation, and freight forwarding is an advantage.
• Experience in supporting trade shows or exhibition programs is beneficial.
• Knowledge of HubSpot or a similar CRM/marketing platform is a bonus.
